FY17 Consortium VoIP RFP (2017-2018 FORM 470) INFORMATION AND RESTRICTIONS Bids will be accepted during the 28-day waiting period Bids received after the 28-day waiting period may be accepted if all other bids are discarded Bids must be addressed to Mary Jean Slaugenhoup, Riverview Intermediate Unit 6 Computer-generated bids will not be accepted Not following the above guidelines will disqualify the bid SUMMARY DESCRIPTION OF SERVICES REQUESTED VoIP The intention of this 470 is to provide hosted VoIP service to Intermediate Unit 6 and the entity listed below. Intermediate Unit 6 would receive the invoice(s) and be responsible for billing the participating entity o Hosted VoIP service utilizing the existing internet & wide-area network connections located in the following entities and their buildings o Appendix A depicts our geographical area Riverview Intermediate Unit 6, 270 Mayfield Road, Clarion, PA 16214 Headquarters Building o Currently has an existing, functional hosted VoIP solution in place Remote Phones o Includes IU6 classrooms located within any of our 17 member school districts, 3 career centers, or other buildings in which we offer services o These phones need to continue to be part of our main service and support direct extension dialing Approximately 75 phones in total o Approximately 45 non-DID and 30 DID numbers Clarion County Career Center, 447 Career Lane, Shippenville, PA 16254 1 Building No existing VoIP solution Approximately 35 phones o List of handsets supported by your proposed solution must be provided so that the district may procure them from the most cost effective channel if they need them Must support the use of existing Polycom IP560 & Polycom IP670 handsets o Port over existing phone numbers, as required o Provide clear description of the local and long distance call costs/package options o Must specify/provide the number of available external concurrent calls/options o Each district will need at least one auto-attendant, maybe more o It is anticipated that there will be a mix of both DID and non-DID numbers required for each district o Explain what emergency option(s) your system has, if any, for redundancy in the event of system or internet/WAN failure Page 1 of 3 o Detail the frequency and changes which an entity is permitted to make in order to meet their needs For example, adding or removing handsets, voicemail accounts, local/long distance calling packages, etc. on a monthly/semi-annual/yearly basis o Specify the minimum number of phones required to maintain the service o Provide your option(s), if any, to support traditional, email, or other faxing methods o Clearly outline the differences in phone feature packages and their associated costs o Pricing must be itemized at the per unit cost NRC cost per handset (hardware) Per month cost for each basic functionality phone Per month cost for each administrative functionality phone Per monthly cost for each DID Per month cost for each non-DID Per Auto-attendant monthly cost Any other monthly costs Indicate any erate ineligible costs Include any applicable taxes and fees o We are seeking a multi-year contract with the understanding that it will be erate eligible for only the first year o Alternatively priced non-erate eligible offers also will be considered o Other proposed configurations will be considered o The start date of service is expected to begin July 1, 2017 but RIU6 reserves the right to set a later start date CONTACT INFORMATION Please email questions or requests for clarification to [email protected] Page 2 of 3 APPENDIX A Page 3 of 3
