Course Materials Manager Recruitment No. 8090517
Human Resources seeks candidates for the Course Materials Manager position in the Ichabod Shops.
Responsibilities
Responsible for managing all aspects of the course materials cycle throughout each term for both
locations, the Ichabod Shop and the Tech Shop. Determine quantities needed based on prior sales,
course history, enrollments and faculty input. Identify and use the most cost-effective and available
ordering methods. Place orders using current software-follow-up on delivery dates, quantities,
substitutions, etc.
Work with shipping and receiving to verify receipt of orders, condition of materials, quantities,
invoicing, and changes in pricing. Monitor timely return of unsold/unused materials back to vendors
and ensure receipt of credit for returned materials. Coordinate the non-returnable merchandise to sell
through third parties or disposed of properly. Negotiate with third party course material vendors.
Serve as Faculty/Staff liaison. Communicate course material adoption due dates with faculty/staff
department via meetings, phone calls, and/or email to determine course material needs. Develop
faculty relationships at both campuses. Attend New Faculty Orientation and staff development
events. Work with marketing staff to create special events for faculty.
Follow up as necessary for issues that develop including edition changes, enrollment changes, no
textbook required, out-of-stock, etc. Coordinate with campus entities, (ITS, library, academic deans)
on issues related to course materials. Work with Director to implement and maintain a course
materials committee.
Ensure Washburn University, the Ichabod and Tech Shops are in compliance with the Higher
Education Opportunity Act (HEOA) regulations. Coordinate with web master to ensure accurate and
timely information is available to students and university community.
Coordinate buyback at both campuses. Provide exceptional customer service to our customers. Ring
up sales, provide cross-departmental sales support, locate merchandise, make sales suggestions,

provide information and product knowledge to provide exceptional customer service to our customers
and exceed their sales and/or service expectations whenever possible.
Coordinate inventory with store management team after each term. Investigate and utilize emerging
technologies. Identify cost/benefit for store and customer to senior management team. Coordinates
with university stakeholders on emerging technologies and processes. Ensuring the Ichabod Shop is
included.

Assign and direct work activities of staff. Establish processes, procedures and trains course material
staff. Determines area staffing needs and communicates needs to others on the management team.
Monitor and evaluate employee performance. Provide timely, constructive feedback to enhance job
skills and work habits. Promote and reward successful performance. Establish performance
improvement plans and administer progressive discipline as needed to help employees meet
performance goals and expectations. Encourage employees to develop and enhance skills by
participating in training events, researching industry developments, attending conferences and
networking with counterparts. Interview, hire, train and supervise student staff for the course
materials area. Interview applicants, select and recommend candidates to fill vacancies as they occur.
Develop and deliver or arrange for presentations at Bookstore meetings and training events as needs
are identified to further enhance employee performance and customer service. Coordinate weekly
work schedules to ensure optimal staffing of both bookstore locations and special events. Establish
alternative plans to ensure back-up coverage for staff who experience illness or emergencies that
prevent them from working as scheduled. Plan and participate in staff meetings, making sure to bring
relevant information for discussion and sharing.
Compile data, calculate sales figures, draft reports and assist the Ichabod Shop Director with analysis
of the bookstore's financial performance and with budget preparation. Recommend changes and
options to assist the Ichabod Shop Director in store operation, planning, budgeting, goal setting and
procedure implementation and change. This position serves as back-up for the Ichabod Shop Director
providing leadership and supervision during absences, promoting network, camaraderie and ensuring
continuous service to customers. Also serves as back-up for the Administrative Specialist.
Required Qualifications: High school diploma or GED equivalent. Three years retail experience. At
least two years management experience. Knowledge of buying principles. Demonstrated exceptional
customer service skills, computer skills and ability to move and/or maneuver materials and packages
weighing as much as 40 pounds.
Preferred Qualifications: Prior experience in a college or university environment. Prior Course
Materials experience. Two or more years POS-Inventory Control experience.
