School City of Hammond 41 Williams Street, Hammond, IN 46320 Tele: 219-933-2400 JOB OPPORTUNITY Job Title: Payroll Specialist Job Category: Classified Department/Group: Clerical Position Status: Full time Location: Payroll Department, Administration Center Salary Schedule: Class V Step - Clerical Salary Schedule Reports to: Director of Business Services/Grant Management Contracted days: 230 days Outside Training Required: No Travel required: None Effective: Upon board approval Application Deadline: Friday, January 29, 2016 Applications Accepted By: APPLICANTS MUST COMPLETE AN APPLICATION ONLINE AT: www.hammond.k12.in.us Job Description GENERAL ROLE AND RESPONSIBILITIES: Generate payrolls with multiple rates, groups, and pay records Prepare monthly Craft reports and pay benefits to Unions Process and collect monthly charges with benefits from schools for reimbursable fund Prepare, analyze, and distribute financial information for administrative level decision-making Prepare and distribute directions in a clear and concise format Participate in decision making Filing (manual and electronic) Transmitting, via computer and phone, Federal taxes, child support, Common Remitter Files, etc. Correspondence (paper and electronic) Operate office machines and telephone GENERAL SKILLS AND QUALIFICATIONS: Computer literacy (Microsoft suite, internet, outlook, activity calendar) Ability to use inter-relational software Ability to determine and initiate more efficient ways of performing task Ability to learn new software with minimal instruction Ability and knowledge to train or assist with staff training Willingness to cross train Capability to adapt to rapid change Ability to deal with difficult people and problems in a positive manner Experience in financial analysis Ability to handle multiple priorities simultaneously Ability to extract data and prepare an analysis SPECIFIC RESPONSIBILITIES IN THIS POSITION: Ability to handle a 2500+ employee payroll Process bi-weekly payroll and dockets Auditing payroll details from remote sites to verify possible anomalies Understanding of contract language for payroll, benefit, and severance purposes Preparation of required governmental reports: retirement, IRS, W-2’s, Department of Labor, etc. 1 School City of Hammond 41 Williams Street, Hammond, IN 46320 Tele: 219-933-2400 JOB OPPORTUNITY Responsible for maintaining employee and corporation records of payroll changes in rates, locations, budget account codes, etc. All other duties as assigned by the Business Department Administrators Specific Skills and Knowledge for this position: Knowledge of computer applications including spreadsheet(s) (formulas, multi-level sorting), word processing, etc. Knowledge of FMLA guidelines in relation to payroll reporting Knowledge of Indiana law regarding Public Employees Experience with fringe benefits, tax sheltered annuities, and garnishment withholdings Knowledge of reports as required by the State and Federal Government Knowledge of basic accounting, math, and payroll principles Knowledge of Federal and State laws governing payment of wages Knowledge of Federal and State laws governing the filing and payment of payroll taxes Knowledge of customer service principles and techniques Skilled in using general office equipment such as telephone, fax, printers, copiers, calculators, and computers Skilled in using computer applications such as word processing, spreadsheet and database programs Skilled in setting up and maintaining computerized data and accounting records Ability to communicate effectively with others, both orally and in writing Ability to establish and maintain effective working relationships with those contacted in the course of work Qualifications and Education Requirements: High School Diploma or equivalent, 2 years of general secretarial experience. Supervisory/office management experience preferred. Bi-lingual abilities would be considered an asset.
