Reports To: Director of Human Resources and Safety Director
Location: Dorchester
GENERAL DESCRIPTION OF POSITION
While other duties may be assigned, the main functions performed by this position are detailed
accounting policy and procedures which include payroll, individual employee account
maintenance and coordination of applicable benefit programs and related accounting. The work
requires use of a ten key calculator, computer hardware and software, printers and related office
equipment. This position schedules and initiates regularly reoccurring tasks and responds to
special projects, inquiries, and requests.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Maintains all employee payroll and personal files: updates employee master records, pay
rates, deductions both voluntary and those required by law and court order. Processes
payroll by input of hours/time sheet reconciliation/payroll registers/reports/electronic
wire transfers and related documents to complete payroll to P/R and post to G/L. This
includes the processing of month end, quarterly and annual payroll tax reports and related
payment processing as required by law. Distributes payroll stubs to staff.
2. Personnel Files-Maintains files for all employees that include current pay rate and
deductions required by law, voluntary deductions for benefits, garnishments, and request
verification of w/ holding. Acts as records custodian for personal files and notifies
Supervisors of upcoming employee evaluation dates.
3. Medical Files-Maintains files for all employees that include any insurance benefit
documentation, drug/physical test results and any other documentation regarding the
health of the employee or their dependents. This includes processing of worker’s
compensation and disability claims.
4. Employee Enrollment-Enrolls new employees and completes all related forms for payroll
and explains all available benefits offered by the employer.
5. Employee Benefits Administration-Process applications for any insurance, benefits,
retirement and deductions which have been selected by individual employees.
6. Benefits Coordination-Partner and maintain good communication with insurance
representatives to provide answers to employees as necessary and assists with any claim
issues. This includes informing appropriate companies of terminations or resignations
and updating of personnel information and related submission of COBRA notifications
and related documentation. Also included is the review of monthly insurance billings and
payment processing.
7. Release of Employment Information-Adhere to the policy of releasing current & past
employee’s information as stated in policies and procedures.
8. Bank Deposits-Process deposits by inputting information into accounting software and
posting the revenue to accounts receivable on a daily basis.
9. Bank Account Reconcilement/Money & Bank Tranfers-Ensure the accounting software
reconciles with all bank statements and determine if/what actions should be taken to
ensure accuracy on a monthly basis. Input all journal entries into the accounting software.
10. Audit Preparation-prepare year-end reports, schedules, and reconciling documentation for
auditors as required.
Perform any other related duties as required or assigned.
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty

EDUCATION AND EXPERIENCE
High school, plus specialized schooling and/or on the job education in a specific skill area; E.G.
data processing, clerical/administrative, equipment operation, etc, plus 2 years related experience
and/or training. Or equivalent combination of education and experience.
RESPONSIBILITY FOR FUNDS, PROPERTY and EQUIPMENT

COMMUNICATION SKILLS
Ability to effectively communicate information and respond to questions in person-to-person and
small group situations with customers, clients, general public and other employees of the
organization.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers,
common fractions, and decimals. Ability to compute rate, ratio, and percent and to prepare and
interpret bar graphs.
CRITICAL THINKING SKILLS
Ability to utilize common sense understanding in order to carry out written, oral or diagrammed
instructions. Ability to deal with problems involving several known variables in situations of a
routine nature.
SUPERVISION RECEIVED
Under direction where a definite objective is set up and the employee plans and arranges own
work, referring only unusual cases to supervisor.

Limited responsibility with regard to general assignments in planning time, method, manner,
and/or sequence of performance of own work operations.
DECISION MAKING
Performs work operations which permit frequent opportunity for decision-making of minor
importance and which would not only affect the operating efficiency of the individual involved,
but would also affect the work operations of other employees and/or clientele to a slight degree.
MENTAL DEMAND
Moderate mental demand. Operations requiring almost continuous attention, but work is
sufficiently repetitive that a habit cycle is formed; operations requiring intermittent directed
thinking to determine or select materials, equipment or operations where variable sequences may
be selected by the employee.

Moderately structured. Fairly broad activities using moderately structured procedures with only
generally guided supervision. Interpolation of learned things in somewhat varied situations.

Regular use of complex machines and equipment (desktop/laptop computer and software, road
and production machines and equipment, etc.)

Probable errors of internal and external scope would have a moderate effect on the operational
efficiency of the organizational component concerned. Errors might possibly go undetected for a
considerable period of time, thereby creating an inaccurate picture of an existing situation. Could
cause further errors, losses, or embarrassment to the organization. The possibility for error is
always present due to requirements of the job.

Occasional contacts with patrons on routine matters.

Contacts occasionally with others beyond immediate associates, but generally of a routine nature.
