University of Greenwich JOB DESCRIPTION Job Title: JobShop Casual Talent Bank (JCTB) Grade: JobShop Standard to SP7 Department: Role reports to: Direct Reports Indirect Reports: According to assignment According to assignment N/A N/A Date of Job Evaluation: TBC Other Key contacts: Employees across the University This role profile is non-contractual and provided for guidance. It will be updated and amended from time to time in accordance with the changing needs of the University and the requirements of the job. PURPOSE OF ROLE: To establish a bank of current students from which work assignments may be assessed and matched to suitable candidates. Such assignments may be administrative or events-based, for example reception/enquiry support, marketing, data entry, project support, Open or Taster days, Award Ceremonies, campus fairs/tours, and various faculty or programme-led activities. The talent bank will offer students a range of potential assignments, with varying levels of responsibility and requirements. KEY ACCOUNTABILITIES: Student applying the JCTB may choose one or both of the following options: OPTION 1: CLERICAL/ADMINISTRATIVE Team Specific: To assist with a range of clerical/admin-based activities which may include basic: General front-of-house support (e.g. reception/enquiries via telephone, email and face-to-face) Assembly of marketing collateral and mail-shots Data entry, photocopying/scanning, filing, and indexing Appointment bookings and signposting to various university services General MS Office activities and administrative assistance Occasionally, this may also involve more complex activities such as: General maintenance of dedicated social media activities (e.g. Facebook groups, Yammer, LinkedIn, Twitter) Design and creation of general information (e.g. newsletters, brochures, posters, leave behinds) Survey design and basic analysis of results/findings Design and creation of presentation material (e.g. Prezi, PowerPoint) Effective liaison with external and internal stakeholders on behalf of the university Ambassadorship of the university for internal and external activities Supervising and providing appropriate training to teams of other casual student workers Basic administrative support for projects and initiatives on a casual basis OPTION 2: EVENTS Team Specific: To assist with a range of event-based activities which may include basic: University of Greenwich General setting-up and breakdown of equipment/displays/IT facilities Stewarding, directing and escorting visitors Meeting & greeting visitors and providing orientation of the venue/location Preparing visitor information packs and other event materials Providing administrative support for registration/sign-in areas Occasionally, this may also involve more complex activities such as: Preparing and delivering presentations to visitors Demonstrating good knowledge or insight to a given topic/faculty/campus/programme Effective liaison with external and internal stakeholders on behalf of the university Ambassadorship of the university at internal and external events Supervising and providing appropriate training to teams of other casual student workers Off-site activities to support university partnerships and initiatives Supporting general administration for the arrangement, organisation and delivery of events Generic: Managing Self To work in a flexible manner, ensuring assignment outcomes are met Ability to work in and contribute to the assignment team/event Ability to work on own initiative without constant supervision Ability to work accurately under pressure Ability to work in a professional and reliable manner Core Requirements Adhere to and promote the University’s Equality and Diversity policies Ensure compliance with Health & Safety regulations Support and promote the University’s Sustainability policies, including the Carbon Management Plan, and carry out duties in a resource efficient way, recognising the shared responsibility of minimising the university's negative environmental impacts wherever possible Additional Requirements: Hours of work will differ for each assignment.
