Introduction
The following report is to regard for my industry placement “Cosmi Health Food”. A brief
history of the placement is initially outlined. Then the discussion will focus on identifying the
communication style and the database system of Cosmi Health Food. After that the discussion
continues with evaluation of the staff and perceptive of my duties in the following part.
Background of Cosmi Health Food
Cosmi Health Food was founded in 2002 in Hong Kong. Cosmi Health Food (Hong Kong)
Company Limited is a company based in Hong Kong that specialised in health food and teas.
CHF was established in 2002 and has built its name through manufacturing and producing a
wide range of herbal products such as teas, sweets and dried fruits that combines traditional
Chinese herb with modern flavourings. As a progressive, global healthcare company with a
strong foundation in Traditional Chinese herb also manufacture and retail traditional Chinese
medicine and health food in Hong Kong, Macau, China. Except their own retail store, Cosmi
also supply their product to more than 5 authorised parties for selling and promoting its
product. In fact, Cosmi is mostly known for its creative product as it integrate the traditional
Chinese herb with cutting edge modern manufacturing which produce safe, reliable more
effective healthcare product then before.
Location and formal links of the information unit
In this placement, I worked in the Collection and information resource department as an
assistant for handle database duties. Collection and information resource department is one of
the important departments in Cosmi. This department has relationship with all departments in
the company especially sales department and logistics department. Because sales department
and logistics department both are highly rely on data and information that provided and
managed by collection and information resource department. Sales record and inventory are
the most common type of data that access and modify everyday since sales and goods
distribution are happen everyday. Other departments like human resource and promotion team
also have close connection with this department.
Types of information for Cosmi
The office where I worked during placement is headquartered and communication center of
Cosmi healthy industry. All of the daily operation or decisions are all made in this office.
Thus, there is different type of information needs to be processed and organize. Sales records
is of the major data has to be organize in everyday. As Cosmi product is available on 16 chain
stores and more than 5 authorize party, it is essential to establish and organize the sales record
everyday. Follow by the sales record is the stock record, as it is important to guarantee there
are enough stocks to run and distribute. Other information like retailer details and supplier
details are also common, it is because those details are valuable asset for the company so all
the data has to be stored and organize systematically to ensure it can be access any time.
Customer details also have a huge amount data in the database as it can be used on direct
marketing or other promotion campaign. Internal data like product details and employee
details are stored in the intranet database as it is for internal access only.
Formal responsibilities of the information unit
There are basically six departments in Cosmi handle different type of responsibility and
objectives.
Marketing or promotion department
The marketing team in Cosmi is who handle promotion and increase the sales. They would
develop different marketing plan or promotion campaign to achieve the objective.

Sales and logistics department
The sales and logistics department is the group who deal with sales and distribution. They
will keep contact with client and supplier to ensure there is enough supply in the market.
Sometime they will organize cold calling for seeking new client.
Collection and information resource department
This is the department dealing with data and information. All the matters related with
database are the job of this team. Also this department would provide technical support for
database.
Accounting Department
The department specify with numbers and money. They update and maintain accounting
records, including calculates the profit and lost.
Human resource department
This department duty is to organize people, reporting relationships, and work in a way that
best supports the accomplishment.
Types of information for which the information unit is
responsible
Different types of information are responsible for different department.
The Marketing or promotion department is relying on the customer details in order to develop
different marketing strategy.
Sales and logistics department is responsible the sales records and inventory since it handle
the distribution of the Cosmi.
Accounting Department is responsible for finical plan and balance sheet those budgeting or
numbers in the database.
Collection and information resource department handle and organize all kind of data. Since it
provide support for all other department by using database.
Human resource department is responsible for internal information like employee details and
other employee personal information.
Internal communication channels
The communication channel in Cosmi is relatively ordinary, like E-mail, voice mail;
conference calls and verbal communication are widely used on different situation. But unlike
normal office, there has a huge LCD TV in the middle of the office, it display about day-today work schedules of employees also with the updates or news related with Cosmi.
Information like new competitor product announcement, sales record or policy change in the
health food market etc. The CEO of Cosmi believe that this information board can help all the
employee get more understanding about the market that can have better reaction or
performance in their duty. Furthermore, the internal database system in Cosmi is also widely
open for all employees. All the people just simple login their staff ID and pw, all the
information like sales record, product details can be accessed. However, the database system
can be only access by authorized computer and the information can’t be copied and some of
the information like the secret recipe of the product or customer details are require permission
for access.

Technology used by Cosmi
Cosmi use several software to store and organize the data, for daily sales record Cosmi utilize
the Microsoft excel (spreadsheet software) to store and calculate with the daily sales and the
stock level. Then all the report will be named properly with data and title store to the internal
database. All the files can be search and recall by using search function however all the file
once stored in the database would change to read-only format. Modifying or changing of the
data requires permission from the system administrator.
Evaluation
Regarding for the satisfaction level of clients for Cosmi, as the database service is only for
internal use. Based on my observation, I can tell Cosmi really has a very reliable database
system. As this database system has close relationship with all department so the database is
actually one of essential for the company daily operation. And to achieve this, I can see the
information team has put so many efforts on it. Even I am just only handle the data entry or
organizing, I can sense the spirit of team. In the other hand, the database system also feature
with a accurate searching functionally that preform a good help for people who looking for
huge amount of data. In fact, error and problem sometimes still occur but the information
team always can be made the fast react to deal with it. Thus, until the date I leave the
placement I still can’t see any major error has occur that affect the company.
Conclusion:
To be concluded, this industry placement offered a good opportunity to get more
understanding about information service in real application. It is because most of the
knowledge I have learnt from the class or book may be totally different when apply in real
life. Thus, this is the best way to apply and test my knowledge and skill. In fact, I really enjoy
working in Cosmi, except the skin and knowledge from managing information. It also allows
me to get more understanding more understand about. Nevertheless, I believe this working
experience would be belief for my study as it can be my practical examples whether than
those rhetorical example on the book.
