Florida Division of Cultural Affairs Strategic Planning Meeting Notes Meeting Date: September 3, 2014, Gainesville Clinical and Translational Science Institute, University of Florida Meeting Time: 9:30am – 3:00pm Attendees Jackie Cornelius, Flora Maria Garcia, Morgan Lewis, Donna McBride, Bill Nix, Gaylen Phillips, Sandy Shaughnessy, Jill Sonke, Tim Storhoff Pre-work 1. Mission subcommittee to meet via phone to review comments from the Planning Team and determine next steps. Subcommittee members include: Jill Sonke, Donna McBride, Tim Storhoff. 2. Vision subcommittee to meet via phone to develop a draft vision statement. Subcommittee members include: Xavier Cortada, Donna Mc Bride, Morgan Lewis, and Hope McMath. 3. Welcome/opening from Lucinda Lavelli, Dean, College of the Arts at University of Florida Highlights: Dean Lavelli shared information on how University of Florida is integrating arts in to many other academic areas. Discussed the public art collaboration that committee member Xavier Cortada has at UF and urged meeting attendees to visit the piece on campus. Stressed that the Division of Cultural Affairs strategic plan is a reference point for colleges: “We’re not on people’s consciousness, this document helps us.” Planning Team Meeting Notes 1 Emphasized the ongoing importance of stressing that “arts are important to the economy of the state.” The University of Florida College of the Arts is interested in exploring partnerships on any potential project. Mentioned the need to educate legislators on an ongoing basis and emphasized the importance of statewide advocacy. Arts gives us a way to think about thinking differently. ll. Share and discuss insights and implications Listening session highlights (key themes) – meeting handout Division of Cultural Affairs Non-grant program chart – meeting handout There are non-grant programs that will need to be reviewed using the strategic framework. Committee asked Staff to explore what can we stop, start, and continue doing based on the strategic direction. Decision-made: This chart will be reviewed again during the action planning phase. lll. Share mission statement recommendation Draft Mission Advance, support, and promote arts and culture to strengthen the economy and quality of life for all Floridians. Decision-made: Adopt mission draft. Will review again for alignment and consistency with values and vision. lV. Share values statement work Values Draft Service to community We are committed to fostering healthy and vibrant communities by supporting arts and culture. Creativity/Innovation We are committed to a culture of creativity and innovation. Customer service We are committed to providing service and guidance that is prompt, responsive, and courteous. Teamwork We are committed to teamwork and collaboration in everything we do. Meaningful work/commitment We believe that our work has meaning and value. Change wording on customer service to: We are committed to providing the highest level of service with integrity. Decision-made: Go back to staff values subcommittee for minor fine tuning. V. Share vision statement work Draft #1 Florida is a place where arts and culture is integrated into every aspect of life. The Florida Department of State’s Division of Cultural Affairs is highly visible and connects with every community in Florida, from the Panhandle to the Keys, to ensure a citizenry that is deeply engaged and inspired by arts and culture. The Division forges creative connections and collaborations between Florida’s artists, students, cultural organizations, businesses, nonprofits, government, citizens and visitors. Through these efforts, Florida is a national leader stimulating and advancing the creative economy and diverse cultural heritage. Revised Draft #2- suggested by Vision subcommittee As a national leader, the Florida Department of State Division of Cultural Affairs cultivates vibrant and thriving communities where arts and culture are integrated into every aspect of life. Through broad collaboration, the Division stimulates and advances the creative economy, diversity, and well being for all Floridians. Suggestions: 1. Could see how key words and phrases were used and the evolution of the process but want it shorter and more exciting. Decision-made: Reconvene Vision Subcommittee to include Jill to review suggestions and a make recommendation before the October meeting. Vl. Review and revise key strategic issues Sustainability How does the Division sustainability remain relevant? Revise to: How does the Division’s support for arts and culture remain relevant and sustainable? Decision-made: All other key strategic issues still work. Vll. Discuss possible roles for the Division (in no order) Funder Leadership/Direction Communications/Marketing Education/Professional Development Information/Data Convener/Collaborator It was noted that the Education and Information roles would help others in their Advocacy efforts. Planning Team Meeting Notes 3 Decision-made: Committee will do more work around this in October. Roles will need to be prioritized. Vlll. Action Items 1. Vision subcommittee to meet via phone to develop a draft vision statement. Subcommittee members include: Xavier Cortada, Donna Mc Bride, Morgan Lewis, Hope McMath, and Jill Sonke. 2. Review new vision Draft #2 above and send your comments to Jana prior to the meeting. 3. Brainstorm on core strategies to answer each key strategic issue above. Committee members will bring thoughts on these to the meeting in October. We will share with each other and then prioritize. Examples of strategies brought up at the last meeting: Develop professional development programs for urban and rural areas. Promote and create interagency collaborations. Partner with tourist development. Position Florida as a cultural destination. 4. Review all meeting notes to date. Parking Lot Possible strategy: prepare asset map that shows impact of programs and reach Need consistent key messaging Does “Placemaking” belong in core values? Looking at potential activities through the filter, “What can the Division of Cultural Affairs do that no other organization/agency can?” Follow up on discussion around role – connecting the story, the data, the validation.
