Usually… Director of __________ Email address BACKGROUND AND PURPOSE There is often a need for the user to understand why a given policy exists and to whom it applies. This section requires the policy writer to lay out an explanation and some background/history for why the policy was created and to define its purpose and scope. 2.0 POLICY Policy statements are usually fairly simple. A policy statement should articulate a rule or several related rules to be followed. This section may have some detail, but generally not too much. 3.0 PROCEDURES This is the section that holds much of the detail for implementing a policy. This section could also be called “OPERATIONS” if the policy writer believes that is a more apt title. It’s not uncommon for there to be subsections within a procedures section, depending on the policy. This section might define steps that a user would move through in order to follow a policy. If it doesn’t involve anything sequential, then it might just include details for how to follow the policy. Other possible sections include: DEFINITIONS: Necessary if the policy includes jargon or technical language. RESPONSIBILITIES: Necessary if the policy covers several offices or functional areas on campus, or when multiple people in a department play important roles in the implementation of the policy. ATTACHMENTS: Some policies have forms that are required as part of procedures. This section can point the user to a web link to access necessary forms. DISCLAIMER: Probably not a section used for many policies, but in some cases, a disclaimer might be necessary. There may be other sections needed depending on the particular policy.
