UCLA Rotation Computer Orientation
Packet
Sign-Out System for UCLA Consult Rotation

-Click on Inpatient Sign Out
-Username is p followed by pager number i.e. p12345
-Password is same as PCIMS/Cview.
-If you have patients on your sign out already they will pop up. Otherwise click on
“select user” to chose your name and add patients, or choose prior fellows name to
transfer his/her patients to your list.
-Add patients by clicking “add patient”
-Can edit patient info, delete, or transfer patient info to another users list by clicking on
“edit” “transfer” or “d/c” next to patient’s name.
-Geri fellow names are listed under “Residents”
-must be signed on to VPN to access from home.
-to print out sign out click on “print PDF” then print from PDF view
Computer Systems: Overview
All computer systems are web based except for Essentris. Web based systems can be
accessed at the following site: http://www.mednet.ucla.edu/
Username is p followed by pager number: i.e. p12345.
For computer help desk call 794-4357 (or 4-4357 from UCLA phone)
Essentris: Patient vitals, some labs, in’s and out’s, some nursing notes, pt/ot notes, social
work notes, d/c planner notes. You can only access Essentris from clinical sites i.e. RR,
NPH, SMH.
Results Reporting (PCIMS): Old computer medical record systems give access to patient
notes, labs, radiology reports and X ray images. Will likely be phased out this year.
CView: Newer computer system that gives access to patient notes, labs, radiology reports
and X ray images. CView has more extensive sorting capabilities than PCIMS with
regards to documents/labs. Also can access radiology images, EKG images, and other
website systems including sign-out, outlook, and CDS. Can also see physician schedules.
Clinical Document System (CDS): Old dictation system. To edit dictated notes and
create new notes. Fellows will be transitioned off CDS and onto Clindocs (see below).
ClinDoc: Will be new dictation/notes system. For training video go to bottom of page on
following website:

Essentris
Click on Unit to find patients name.
Click once on patients name to select patient.
Go to Flowsheets at top of screen and select choice to see vitals, in’s and out’s, and labs.
PCA data can also be found in vitals section.
Go to Summary Screens at the top of the screen to choose from different summary
screens (CT surgery and CCU are best) to see vitals, I/O, and some labs all on one screen.
There is also a labs summary screen. NPH summary screen is useful for NPI patients.
Go to Notes at the top of the screen to look for nursing notes, PT/OT notes, MSW notes,
D/C planner notes, and speech pathology notes. To see all notes you must click on the
button at the top that has a white rectangle with a blue star, otherwise you will only see
the notes for that day.
To go to new patient on that same unit can click on patients name at top left corner and
scroll through patients on that unit. To find a patient on a different unit either click the
green house symbol to go back to main screen, or click unit under “unit name” next to
patient name in left corner.
Results Reporting (PCIMS)
Find Patients: Search by patient name, MR number or unit number.
Once in patient file can search new patient by clicking “Search Patient” and will bring
you back to main screen.
Contact information: click grey box on patients face sheet (first screen)
Lab results: click on “Lab Results”. Will only bring up last 72 hours unless you select
“All Results” first. Use blue links on left to select specific lab groups only or click on
“Results Summary” for a list of specific lab tests.
Documents click on “Documents”. Again use blue links on left to select specific
document types, i.e. all radiology, pathology etc.
Radiology Images: To view X rays/CTs/MRIs and other images click on “PACS”
“Encounters” will allow you to look at prior admission dates and clinic dates.
EKGs: “EKG Reports” will bring up prior EKGs and let you view them.
Paging: “Paging” will give you a direct link to pager system
Medications: Use “Meds Profile” to see current list of medications.
CView
Training Videos are located on the home screen at the bottom. They can also be located
at the following website:

Set up home screen. Scroll down to bottom of home screen and click “configure”. Here
you can choose what items you want to appear on your home screen and how you want
them to appear. Add new windolets by clicking either Split Horizontally or Split
Vertically.
Patient Lists: To add patients to lists, first search for patient by name, unit, or MR #.
Click on box to the left of patients name, then scroll to bottom and click on box that says
“Add checked results to worklist” and choose which worklist you want to add it to (can
organize patients in different worklists by color or choose My Patients for master list.
You can also add a patient to a worklist when in the patients chart by clicking on the flag
in the top middle of screen, and choosing list. Patients can be on multiple lists.
Preferences: Click on preferences button on left side of screen. Most important here is
to look for button that says “Document Tree Limited History Period”. Here you select
how far back you want documents loaded when you look up patients. The longer you
choose, the longer it will take to load each patient. By default, only 72 hours of
documents and labs are visible in the Document Tree.
If you are in a patients chart and want to view all documents or select a different time
range, click on the icon in the left upper corner that will say “From date 0000 to time.”
Here you can select “show all documents”, or select another time range.
EKGs: Access EKGs at WW or SM by clicking on EKG sign on top right of screen
(there is one for Westwood-WW and one for Santa Monica –SM). To view reads of
EKGs look in document tree on left of screen. Echocardiograms can be found here as
well.
Radiology Images: Access radiology studies images by clicking on CXR symbol in
upper right of screen.
Medications: Click on red/white pill in upper right hand corner.
Labs: View by clicking on “Laboratory Reports” in document tree on left. Can search by
lab type, 72 hr summary, 24 hr summary, or can search for individual labs by clicking
“search labs”. When looking up individual labs under the “search labs” function key,
make sure to select the time period you would like to search.
Applications: Applications bar on left of screen will connect you to CDS, Sign-out
system, paging, and outlook email.
Physician schedules: Click on Schedules tab on left. Then click on “Clinic Schedule by
Physician” and enter physician ID (i.e. p12345) and date you want to see schedule.
CDS (Clinical Document System)
Any new dictated documents will appear on initial screen.
Click on document to edit, box will appear below.
Double click on text to edit text. Once done editing, double click again to get access to
area where you can save and sign.
To access signed documents click on “Other Documents” in upper left corner. Then
select “Advanced” under Window Version. This allows you to change to select signed
documents and search either by pager number, patient MRN, document number or date of
service. Once you are in an old note that you want to copy to a new note click on “New”
button on bottom of screen, this will open a new document with all of the text from the
old signed document cut and pasted. You will have to click on the red box to change the
date and then can edit the text of the document to reflect the days note.
Once done editing document you can click “save” button to save your document for later,
or you can click the button that says “sign and send for addendum”. If you click “sign
and send for addendum” a box will appear for you to search for the name of your
attending and the document will be forwarded for addendum.

From a hospital phone dial 231 to access the automatic pager system
From outside dial 1-800-BEEP-231
To sign-out your pager:
“Please enter the pager number” * + your pager number (i.e.*12345)
#, 1, 1, 1 then the covering pager number
To cancel your pager sign-out:
* + pager number

Smart Web
Online system to change pager status, coverage, view old pages. Also can change pager
status by calling page operator at x66766.
Go to mednet home page. Click on “Paging” button. Then login to Smart Web by
clicking on Login in upper right corner. Where it says Pager ID put just the numbers
without the p. May need to have password set by calling x66766 and speaking to
manager. Once logged in go to “Personal Profile” tab (upper left corner). Here you can
change status of pager and view archived messages.

To clean up meds select text from patients med list on either PCIMS or CView, copy and
paste into dryang.org, then click “meds no dates” to clean up list. Once cleaned up can
cut and paste directly into the note in CDS. Same goes for labs.
