GOSPEL CHOIR CONSTITUTION AND POLICIES “Ministering Who We Know in Spirit and In Truth” John 4:24 ARTICLE I. Purpose The goal of the Gospel Choir is to encourage, uplift and strengthen college students, through the message of Christ by the ministry of Gospel music. It is also to spread the message of hope throughout the community, by using Gospel music to minister in such a way that it brings comfort, joy, peace, unity, and above all love. Therefore, we do not treat ministrations lightly as we see it as our duty to proclaim the word of God through the special gift that He has given to us. ARTICLE II. Membership In order for an individual to be considered as an active member of Gospel Choir, s/he must: A. Attend at least four practices and show a desired interest to be a part of the choir. B. In order to prove their desired interest, the individual must display seriousness in their attitude, punctuality, and behavior. C. They must also be part of at least one ministration. In doing so, they will be considered an active member with voting rights. ARTICLE III. Meetings (Regular, Special, Socials) A. Weekly Meetings a. Weekly meetings will be held on Thursdays from 7:00-9:30pm. When deemed appropriate and needed, Tuesdays can be added to practice days as well. The time will be calculated depending on the amount of practice that is needed in order to make a ministration the best that it can be. b. These meetings are opened with an opening prayer/worship. We then proceed to do various warm-ups to open and enhance our vocal chords, which is followed by the practice of all parts in order to master a song. c. Attendance policy: 1. All members are expected to attend all meetings as each meeting is very important. If a member misses a meeting, they will hold the group back. Therefore, anyone who misses at four (4) practices before a ministration will not be able to minister with the group. B. Executive Board Meetings Gospel Choir Constitution 2009-2010 Page 1 a. Executive board meetings will be held weekly before our practices. More meetings may be organized if the executive board finds it necessary. These meetings will consist of matter that will enhance the Gospel Choir and fervent prayer for the Spiritual guidance in how to lead the Gospel Choir the way God wants it to be led. C. Annual Spring Gospel Concert a. Every spring, a gospel concert is hosted by the Gospel Choir. During this concert, we focus on a special theme where we have dance, poetry, singing, and various forms of ministration focused around the theme. The goal of this concert is to Use it as a tool of bringing lives to God, Foster deeper relationships with God, Fellowship with other Christians in the area who have the same passion for music. D. Socials a. The executive board together with the members of the Gospel Choir will plan social events such as skating, going to the movies, and meeting each other at restaurants so that we will be able to foster a family throughout all members that are part of the Gospel Choir. ARTICLE IV. Elections A. Elections are done annually in the latter part of the year (April/May) unless there is a need for a position to be re-elected. People that are allowed to vote are active members and executive board members. B. Nominees for elections can be nominated by a member, an executive board, or even one’s self. C. Once the nominations are sent to the president, a date is set aside where the nominees give speeches talking about their goals and what they wish to accomplish and the body elects their new executive board for the next year (September). D. In the event a person can no longer serve on the executive board (whether by choice or a majority vote because he/she is not fulfilling their duties) then an active member in Gospel Choir can be voted into the vacant position. ARTICLE V. Executive Board The Executive Board of the Gospel Choir consists of the President, Vice-President/Treasurer, Secretary, Public Relations Officer, Director(s). Their duties are as follows: A. President: a. The president must be spiritually mature and of sound judgment. Gospel Choir Constitution 2009-2010 Page 2 B. C. D. E. b. The president must also be able to foster good communication within the group and create a welcome and loving environment where spiritual growth is encouraged and facilitated. c. Duties involve leading executive board meetings, and keeping the choir and all of its endeavors ministry-focused by seeking guidance in prayer. d. She/he must be able to keep the executive board members on task and spread responsibilities equally and fairly so no one person is left doing all of the work. This person carries out a vision for the choir. Vice-President/Treasurer: a. If the president is ever absent, fills the role of the president. b. His/her main responsibility is handling finances and budget (will be trained to do so). c. She/he helps the president foster an environment of spiritual growth. Secretary: a. The secretary is responsible for sending emails. b. S/He keeps an updated email list and contact info. c. Keeping detailed notes at executive board meetings (even though all members should). d. Keeps attendance records and reinforces the attendance policy with the rest of the executive board. Public Relations Officer: a. The public relations officer is responsible for getting the word out about choir early in the semester. b. This person is also responsible for setting up appointments for tabling. c. S/he creates flyers, utilizes facebook and/or other social networks, and makes plans on how to publicize events. d. S/he makes it a point to obtain contact information from visiting ministries and prospective guests for concerts. Director(s) a. The director(s) will be in charge of directing practices (warm up exercises, diction and annunciation, keeping the beat etc.) b. This does NOT mean they will be responsible for leading songs or choosing and breaking down songs. Songs should be chosen and broken down by the entire executive board as a collaborative process. The person who leads it should be the person in the choir who feels most comfortable and enthusiastic to lead it. Gospel Choir Constitution 2009-2010 Page 3
