Ritz Theatre and Museum
POSITION: Event Manager
REPORTS TO: Facility Director
FLSA: Salary Exempt
SMG, the leader in privately managed public assembly facilities, has an excellent and immediate opening for an Event
Manager. This position is responsible for the coordination, administration and implementation of all event
services for the Ritz Theatre’s in house produced artistic productions as well as the of rental events within the
Theatre and Museum.
ESSENTIAL DUTIES AND RESPONSIBILITIES:















Oversee the scheduling and payment all contracts with visiting artists and rental clients
Oversee and supervise the administration of visiting artist contracts including, but not limited to,
travel, artistic, technical and equipment needs, catering,etc.
Process event vendor charges through purchasing system, steward vendor relationships and payment of
charges via credit card or check, work with Administrative Assistance to reconcile credit card
statements monthly
Liaise with the Marketing Team and strategize on Marketing campaigns for in house produced events
Facilitate box office build and on sale plans with box office representatives
Supervise Box Office Assistant
Oversee front of house staff including front of house manager, ushers, and ticket takers and coordinate
contractual service providers
Prepare and process front of house employee payroll
Coordinate with licensee all front of house requirements
In coordination with the Facility Director and Production Manager, prepare the event estimate and
update the client and event file with changes in the estimate
Prepare pre-settlements and settlements for events and settle in house and licensed events as necessary
Communicate, coordinate, and implement all front of house logistics in a timely manner to appropriate
internal and external departments and organizations.
Provide for the training, safe working conditions and welfare of employees in accordance with SMG
policies, guidelines and applicable EEO and OSHA regulations
Serve as Event Manager on Duty as required
Perform other duties as assigned
QUALIFICATIONS:










Must have attention to detail
Must have strong leadership, communication and organizational skills necessary for planning and
directing coverage at events
Must have strong customer service skills
Must be able to adapt to changes in the work environment, managing competing demands, frequent
changes, delays or unexpected events
Must have strong interpersonal skills
Must be results driven
Must have good computer skills
Must have good organizational skills
Must have the ability to train, plan, assign, and direct work and motivate personnel
Must have the ability to prepare, analyze and operate within Department Budget

EDUCATION AND WORK EXPERIENCE:









High school diploma or GED
Four year degree in Performing Arts Management/Business or related field preferred or professional
equivalent
3 years event management experience preferred
Knowledge of venue event operations, maintenance, stage management, and event settlements
Experience in event booking, contract negotiations, marketing and box office management
Understand and work from general instructions, specifications, blueprints, sketches and preventive
maintenance schedules
Working knowledge of applicable OSHA, state and other work environment and safety regulations
Working knowledge of fire and public safety issues
Prior supervisory experience required
WORKING ENVIRONMENT/CONDITIONS:




High noise level
Exposure to the weather conditions
In and out of doors several times a day
Exposure to heat and cold, dust pollen and fumes
HOURS OF WORK AND TRAVEL REQUIREMENTS
Must be able to work extended and/or irregular hours, including nights, weekends, and holidays as needed
