AIMS OF THE JOB
The Project Support administrator will play a central role in supporting key projects and services run by
MPI. The post holder will report to the PMO lead and Workstream Lead.
ORGANISATION
MPI (Major Projects Infrastructure) are the BBC Technology Team delivering the broadcast technology
supporting the BBC’s biggest projects including Salford, the W1 project in central London and the TVC
exit in W12. MPI sits within the Technology, Distribution and Archive (TD&A) group within the BBC;
part of the BBC’s Operations division.
MPI manages the entire project process, from the initial gathering of requirements, development of
technical design, procurement of technology, management of systems integrators and contractors,
installation, testing and final delivery to the end users. Through all of this, we ensure stakeholders are
fully engaged and informed, the systems we’re delivering align to the wider BBC technology strategy,
costs kept down, benefits maximised and the BBC’s critical services kept on air. To achieve this, we
have a number of project managers with specific areas of expertise supporting delivery workstreams.
Current projects consist of the W12 Technology closure programme which will ensure the smooth exit
from Television Centre by redeploying the BBCs technical Broadcast and IT infrastructure to other
parts of the BBC. The project is also responsible for decommissioning the site of its technology. MPI
also work with other change technology projects in W1.
KEY RESPONSIBILITIES














To provide efficient, timely and effective support to technical project management team.
Act as a central point of contact and ensure smooth running of the project team.
To ensure that requests are dealt with professionally, following up as appropriate and referring
to line management as necessary.
To produce, and add value, to each task through utilisation of existing skill sets and Microsoft
Office functions (Word/Excel/PowerPoint).
To support and collaborate with other Project Support Team Members to ensure the smooth
running of the programme.
To maintain and update project plans through regular updates with the team.
To maintain and update the change request & risk and issue logs and chase on outstanding
actions, through regular updates with the team.
To track project milestones and dependencies and report against them accurately
To assist with keeping financial records up to date
To organise, prepare documentation for and take minutes of meetings including technical
meetings.
To assist with organisation of team travel and accommodation and meeting room bookings
To collate and analyse technical data
To update and create documentation and presentations
To create project reports and assist with project communications as necessary

Act on occasion as an Assistant Project Manager on projects, taking responsibility for
predefined tasks.
REQUIRED KNOWLEDGE & EXPERIENCE
 Strong administrator/support with experience of providing support to a number of team
members of different levels of seniority
 Highly organised, self-motivated and able to work on own initiative
 Ability to prioritise and plan, balancing priorities and deadlines.
 Excellent communication (verbal, written, listening) and interpersonal skills.
 Ability to produce clear concise minutes of contractual and technical meetings
 Ability to work autonomously or as part of a team
 Flexible approach to work with a focus on delivery to deadlines and high standards.
 Analytical skills and attention to detail; self-starting and strong focus on completing/finishing.
 Strong understanding and experience of using Microsoft Outlook/Word/Excel/Powerpoint
 Experience of developing relationships with internal and external customers.
 Understanding of data gathering and business analysis (for example, structuring business
data in a meaningful way).
 Knowledge of the BBC and/or Media sector (desirable)
 Knowledge of working within a technology environment (desirable)
 Working knowledge of Microsoft Project and Visio (desirable)
