TotalMail installation and upgrade instructions This document describes how to install or upgrade TotalMail using the TotalMail installation package. The package and these instructions can be used for any of the following situations: Installing or upgrading TotalMail client applications. Installing or upgrading TotalMail agents and administrative applications. Installing or upgrading the TotalMail and TMWSuite databases. Note: TotalMail must be purchased from TMW separately from TMWSuite or TL2000. Unless otherwise noted, all TotalMail interfaces to third-party software products are add-ons that must also be purchased from TMW. For details, contact TMW Sales at 216-831-6606. A Business Confidential Document. 1 Revised: 11/2013 TotalMail Installation Preparing to install TotalMail TMW strongly recommends you review this entire document before proceeding with the installation or upgrade. In addition, you should perform each task on the following checklist: 1. If you already have a TotalMail database, collect the following information: TotalMail database name TotalMail database server name Password for the TotalMail database server Login and password information for the TotalMail and TMWSuite databases SQL account for the user to access the TotalMail application Note: If TotalMail and TMWSuite are installed on the same database, you will only need this information for the installation or upgrade process. 2. If TotalMail and TMWSuite are not installed in the same database, collect the following information about your TMWSuite database: TMWSuite database name TMWSuite database server name Password for the TMWSuite database server Login and password information for the TotalMail and TMWSuite databases SQL account for the user to access the TotalMail application 3. Collect the name(s) of your mobile communications vendor(s). 4. Back up your TotalMail and TMWSuite databases. 5. On the computer that will execute the installation package, log in with a user name that has administrative rights to both the local computer and the database server(s). Note: To facilitate upgrading multiple computers, you can save the installation file on a network location. However, you must still have administrative access to the local computers to execute the file. 6. Shut down all TotalMail client and agent applications, as well as all TMWSuite applications, on the local computer (this is extremely important). Warnings: 1. TMWSuite cannot be open on the local computer while TotalMail is installed or upgraded. TMWSuite applications access TotalMail features. 2. Close all application connections to the TotalMail database and TMWSuite database (if applicable) before applying SQL during an upgrade. This includes, but is not limited to, ResultsNow by TMW, The Dawg, Management Reporting, and Dynamics GP Integration. Installing and upgrading TotalMail TotalMail 2 Revised: 11/2013 TotalMail Installation 3. If any application(s) is connected to a database during the upgrade process, the system will display a message identifying the open application(s). You can either close the applications, or have the installation process close them for you. Having the applications closed by the installation process is not recommended. System requirements These required system packages must be located on your hard drive before you can install or upgrade TotalMail. If the system does not find an item, the TotalMail installation will install it for you. Windows Installer 3.1 Redistributable (v2). Microsoft Data Access Components (MDAC) 2.8 Note: Once the system installs this package, follow the prompts to reboot your computer. Locate the TotalMail installation file and restart the installation process. Microsoft Web Service Enhancements 3.0 Runtime Microsoft SQL Server 2008, 2008R, 2012 Management Objects SQL Server 2008, 2008R, 2012 Backward Compatibility Components Microsoft SQL Native Client MSXML 6.0 Installing and upgrading TotalMail TotalMail 3 Revised: 11/2013 TotalMail Installation Executing the TotalMail installation file When executed, the installation file launches a wizard that will guide you through the installation or upgrade process. The initial steps of the wizard are the same for client, agent, and database installations and upgrades. 1. From the TMW ClientCenter, download the TotalMailInstaller_build#.exe file to a temporary directory. Notes: 1. Build# represents the build version number you will see as part of the file name. 2. For instructions, see the ClientCenter help. 2. Run the installation file. Note: To view the installation document online while performing the installation, use the Click Here button to display it. 3. Select the I have read and understand the TotalMail Installation and Upgrade instructions check box. Click Proceed. Installing and upgrading TotalMail TotalMail 4 Revised: 11/2013 TotalMail Installation 4. The TotalMail - InstallShield Wizard window opens. Click Next. 5. In the Choose an installation type dialog box, identify the installation type you want. Installing and upgrading TotalMail TotalMail 5 Revised: 11/2013 TotalMail Installation Workstation This option installs/upgrades these TotalMail client components: TotalMail Viewer Client documentation If you want, you can also install these TotalMail system administrator components by selecting the Install TotalMail administration tools (Form Editor and Configuration) check box. Advanced Form Editor Note: You can use the Advanced Form Editor with or without a license. When used without a license, its functionality is limited to slightly more that of the Standard Form Editor. Contact TMW Systems to obtain a license for the Advanced Form Editor. TotalMail Configuration Utility If you select this option, go to the Using the Workstation option section of this document for further instructions. Custom Contact TMW Systems Support before using this option. Agent This option installs/upgrades the following TotalMail client, administrative, and agent components: TotalMail Viewer Advanced Form Editor TotalMail Configuration Utility Transaction Agent, Delivery Agent, and other TotalMail agents Client and administrative documentation Note: The Agent option allows you to execute the SQL files to upgrade the TotalMail and TMWSuite databases automatically. If you select this option, go to the Using the Agent option section of this document for further instructions. Installing and upgrading TotalMail TotalMail 6 Revised: 11/2013 TotalMail Installation Using the Workstation option After choosing Workstation as the installation type, follow these steps to complete the process: 1. In the Setup will install TotalMail in the following folder dialog box, locate the TotalMail installation folder on the local computer. By default, the files are saved in C:\Program Files\TMW Systems, Inc\TotalMail. If you need to change the directory, click Browse to specify the location of your choice. Click Next. Installing and upgrading TotalMail TotalMail 7 Revised: 11/2013 TotalMail Installation 2. In the TotalMail Setup dialog box, review the current settings. If the settings are correct, click Next to start installing the files. If the settings are not correct, click Back; make the necessary changes; advance to this dialog box, and then click Next to start installing the files. 3. The upgrade process will take several minutes. Several progress bars will indicate the setup status. Sample progress bar: In the completion dialog box, click Finish. 4. Open and test the TotalMail Viewer to verify it is working properly. Installing and upgrading TotalMail TotalMail 8 Revised: 11/2013 TotalMail Installation Using the Agent option After choosing Agent as the installation type, follow these steps to complete the process: 1. In the Setup will install TotalMail in the following folder dialog box, locate the TotalMail installation folder on the local computer. The files are saved to the default directory: C:\Program Files\TMW Systems, Inc\TotalMail To change the default directory, click Browse to specify the location of your choice. Click Next. 2. Choose the vendor(s) for which your TotalMail system is licensed. Click Next. Installing and upgrading TotalMail TotalMail 9 Revised: 11/2013 TotalMail Installation 3. The SQL Server Information dialog box displays two sections. The top section contains two options that determine if SQL Login information is collected and if SQL upgrade scripts are run during the installation process. If you choose to run SQL upgrades automatically, you must select your database configuration from the lower section of the window. Installing and upgrading TotalMail TotalMail 10 Revised: 11/2013 TotalMail Installation Select the appropriate option from the top section. Do not collect SQL Server info, I will manually configure my system later Select this option to bypass collecting SQL Login information and applying the SQL files needed to upgrade the TotalMail or TMWSuite databases. All TotalMail client and agent applications, as well as client and agent documentation, will still be installed on the local computer. Notes: 1. By default, the installation process always collects SQL Login information. Selecting this check box will bypass the collection. 2. Select this option if any of the following conditions applies: You have already upgraded or do not want to upgrade the database(s), and want to upgrade the agent applications on the local computer. You are logged in to the local computer with a user name that does not have administrative access to the database server(s). After clicking Next, go to the section Running the TotalMail installation process without applying SQL. I want to run the SQL Upgrade scripts This option is selected by default. The system will apply the SQL scripts to the TMWSuite database during the installation process. Note: Having the system run the SQL during the installation process will take a while. Clear the check box if you do not want the system to run the SQL files at this time. You will need to apply the SQL manually to the database later. If you select this option, go to Step 4. Note: For information on updating the TMWSuite and TotalMail databases by running the SQL files manually, see the Manually installing or upgrading the databases section. 4. If you selected I want to run the SQL Upgrade scripts check box in the top section, select one of the following options: Single Database Select this option to upgrade the TotalMail and TMWSuite databases if they are installed in the same database. Click Next, and go to Installing TotalMail and TMWSuite in a single database. Split TMWS Select this option to upgrade the TotalMail and TMWSuite databases if they are installed in separate databases. Click Next, and go to Installing TotalMail and TMWSuite in split databases. Installing and upgrading TotalMail TotalMail 11 Revised: 11/2013 TotalMail Installation TL2000 Select this option to upgrade the TotalMail database for the TL2000 interface. Click Next, and go to Installing TotalMail and TMWSuite in split databases. TotalMail Only This option is custom. Select it only if you are not using TotalMail with a dispatch system. Click Next. Running the TotalMail installation process without applying SQL These steps complete the installation process continued from selecting Do not collect SQL Server info, I will manually configure my system later in the Using the Agent option section. To complete the TotalMail installation process without having it automatically apply SQL to the TotalMail or TMWSuite databases, follow these steps. 1. In the TotalMail Setup dialog box, verify the set up information is correct for the installation. Click Next. 2. The upgrade process will take several minutes. Several progress bars will indicate the setup status. Installing and upgrading TotalMail TotalMail 12 Revised: 11/2013 TotalMail Installation The InstallShield Wizard Complete dialog box will open when the installation is finished. Click Finish. 3. Open and test the TotalMail Viewer and all agents to verify they are working properly. Installing TotalMail and TMWSuite in a single database Follow these instructions to complete the installation process for a Single Database. 1. In the SQL Server Information dialog box, provide the connection information for the database. Make the appropriate entries in the following fields: Enter the connection information for your TotalMail Server The name of the server that hosts the TotalMail database TotalMail SQL Login The SQL server login ID TotalMail SQL Password The SQL server login password Note: If the server name is not listed in the drop-down field, select the I do not see my server(s) listed and would like to manually enter the name(s) check box. The TotalMail Server field becomes a free-form text field. Enter the name of the server. 2. Click the Test Connection button to verify the server connection. A confirmation message will open. 3. Click OK to close the message, and then click Next. Installing and upgrading TotalMail TotalMail 13 Revised: 11/2013 TotalMail Installation 4. In the TotalMail Setup dialog box, select database to upgrade. Click Next. 5. The following message will appear if you have not backed up your database. "The specified database has not been backed up within the last 12 or more hours or the last backup was not a Full Backup. Continuing without a Full Backup could lead to data corruption or loss. Do you wish to Continue at Your Own Risk?" Click No to exit the installation process and back up your database. Click Yes if you want to proceed without backing up the database. If you selected Yes, another backup message appears. "It has been determined that you do NOT have a current full backup and you have chosen to continue anyway. This can lead to catastrophic data loss. This installer will NOT prompt you to do a backup! Are you CERTAIN that you wish to continue?" Click No to exit the installation process and back up your database. Click Yes if you are confident to continue with the installation process. Installing and upgrading TotalMail TotalMail 14 Revised: 11/2013 TotalMail Installation 6. If an application remains connected to one of the databases, the system displays a message identifying the open application. Do one of the following: Click Cancel to exit the installation. Close the connected application and restart the installation. Select the I wish to continue and have the Installer terminate these connections for me check box. (Not recommended) Note: Your computer may be listed in the Host Name column. This is typical and you may continue with the installation process. Click Next. Installing and upgrading TotalMail TotalMail 15 Revised: 11/2013 TotalMail Installation 7. In the TotalMail User Account Setup dialog box, identify the SQL accounts for the TotalMail and TMWSuite databases. Notes: 1. If this information is already in the system registry, this dialog box will not appear. 2. TotalMail does not use SQL server user accounts to access the TotalMail application. Enter the appropriate information in the following fields. TotalMail Login The SQL server TotalMail database login ID. TotalMail Password The SQL server TotalMail database password TMWSuite Login The SQL server TMWSuite database login ID TMWSuite Password The SQL server TMWSuite database password Notes: 1. If you do not want to identify the SQL accounts at this time, select the Skip this step, I will manually configure this at a later time check box. You will need to enter this information when you first log in to the TotalMail application. 2. If necessary, select the Create SQL Accounts if they don’t exist check box and add new login and password information in the appropriate fields to create new SQL account data for the TotalMail and TMWSuite databases. Installing and upgrading TotalMail TotalMail 16 Revised: 11/2013 TotalMail Installation 8. In the TotalMail Setup dialog box, verify the set up information is correct for the installation. Note: If you selected the I want to run the SQL Upgrade scripts check box in the Using the Agent option section, the Process SQL setting will be set to Yes. The system will run the SQL scripts as part of the installation process. This may take a while. Click Next. The upgrade process will take several minutes. Several progress bars will indicate the setup status. 9. When the installation is complete, a message box opens. Click Finish. 10. Open and test the TotalMail Viewer and all agents to verify they are working properly. Installing and upgrading TotalMail TotalMail 17 Revised: 11/2013 TotalMail Installation Installing TotalMail and TMWSuite in split databases These steps complete the installation process when selecting Split TMWS or TL2000 Database in Step 6 of the section Using the Agent option. Use the following steps to complete the TotalMail installation process for split databases. 1. The SQL Server Information dialog box appears. 2. Make the appropriate entries in the following fields to identify the SQL Server system administrator account information: Enter the connection information for your TotalMail Server The name of the server that hosts the TotalMail database TotalMail SQL Login The SQL server login ID TotalMail SQL Password The SQL server password Installing and upgrading TotalMail TotalMail Note: If the server name is not listed in the drop-down field, select the I do not see my server(s) listed and would like to manually enter the name(s) check box. The TotalMail Server field becomes a free-form text field. Enter the name of the server. 18 Revised: 11/2013 TotalMail Installation Enter the connection information for your TMWSuite Server The name of the server that hosts the TMWSuite/TL2000 database TMWSuite SQL Login The SQL server login ID TMWSuite SQL Password The SQL server login password Note: If the server name is not listed in the drop-down field, select the I do not see my server(s) listed and would like to manually enter the name(s) check box. The TMWSuite Server field becomes a free-form text field. Enter the name of the server. 3. Click the Test Connection buttons to verify the server connections. 4. Click Next. The Select Your TotalMail Database dialog box opens. You can create a new installation or upgrade to an existing database. Do one of the following: To upgrade to an existing database: a) Select the TotalMail database from the drop-down list. b) Click Next. A warning message appears: "NOTICE: When you click "Ok," the installer will now check the databases on the TMWSuite Server you specified in the previous step. This could be very time consuming. Expect an average of 5 to 8 seconds per database on that server. Click OK to proceed." c) Click OK and continue with Step 5. Installing and upgrading TotalMail TotalMail 19 Revised: 11/2013 TotalMail Installation To Create new TotalMail database tables: a) Select the I want to create a new TotalMail database check box. b) Enter the name of the database in the field next to the Create DB button. c) Click Create DB. The system creates the database. This may take some time. The system adds the new database name to the list of TotalMail databases in the Select Your TotalMail Database drop-down field. d) Continue to Step 5. Installing and upgrading TotalMail TotalMail 20 Revised: 11/2013 TotalMail Installation 5. Click Next. The following message will appear if you have not backed up your database. In the TotalMail Setup dialog box, verify the set up information is correct for the installation. Click Next. Note: If you selected the I want to run the SQL Upgrade scripts check box in the Using the Agent option section, the Process SQL setting will be set to Yes. The system will run the SQL scripts as part of the installation process. This may take a while. Installing and upgrading TotalMail TotalMail 23 Revised: 11/2013 TotalMail Installation The upgrade process will take several minutes. The following two windows will appear next to each other. The SQL CMD window shows that the TotalMail script is being applied. Installing and upgrading TotalMail TotalMail 24 Revised: 11/2013 TotalMail Installation When the TotalMail script is applied, a new window appears. It shows that the TMWSuite script is being applied. Note: If you are installing only TotalMail, TL2000, or using a single database, you will see only one of these windows with the associated script name. After the installation is complete, your Data folder shows all DBMods for both TMWSuite and TotalMail. 9. Open and test the TotalMail Viewer and all agents to verify they are working properly. Manually installing or upgrading the databases If you chose the Agent installation option in the TotalMail Setup dialog box and selected the Do not collect SQL Server info, I will manually configure my system later check box, the required SQL was not applied by the installation wizard. You must apply them manually. These SQL files are needed to install, or upgrade, the TotalMail and TMWSuite databases. The files are stored on the local computer. The following sections describe how to run the SQL files manually for these database upgrades. The following facts about the SQL files are extremely important: If TotalMail and TMWSuite are installed in the same database, you will run one unified SQL file update. If TotalMail and TMWSuite are installed in separate databases, you will run two SQL files. SQL Server 6.5 and SQL Server 7.0 are not supported. The SQL files must be run in the exact order shown in the following sections. Installing and upgrading TotalMail TotalMail 25 Revised: 11/2013 TotalMail Installation Running the SQL files for the TotalMail database Follow these steps to install or upgrade the TotalMail database using the SQL files. 1. Back up your TotalMail and TMWSuite databases. 2. Shut down all TotalMail client and agent applications, as well as all TMWSuite applications, on the computer that will execute the installation file (this is extremely important). Warning: Since TMWSuite applications can access TotalMail features directly, TMWSuite cannot be open on the local computer while TotalMail is installed or upgraded. 3. Open SQL Server Management Studio on the local computer. 4. Connect to your TotalMail database server, and select the database that hosts TotalMail. 5. Select File > Open. 6. The SQL files required to install or upgrade the TotalMail database are located in the DATA sub folder of the TotalMail installation folder on the local computer. For most computers, the full folder path will be: C:\Program Files\TMW Systems, Inc\TotalMail\DATA. SQL files are found in these folders: Split-Suite (TMWSuite DB) Split-TML (TotalMail DB) TML-4-TL2k (TL2000 only) Unified-TML-Suite (DB contains both Suite and TotalMail) Installing and upgrading TotalMail TotalMail 26 Revised: 11/2013 TotalMail Installation Select the SQL file that matches your database server and configuration. Database version SQL Server 2008, 2008R, 2012 Configuration Single database Folder and SQL file TMWSuite: TMWSystems, Inc\TotalMail\Data\ Unified-Tml-Suite.sql TL2000: TMWSystems, Inc\TotalMail\Data\Tml-4TL2k.sql SQL Server 2008, 2008R, 2012 Separate databases TotalMail: Split -Tml.sql 7. Select Query > Execute. 8. When the query completes, check the message at the bottom of the Messages tab: If the message reads, “Query batch completed,” the upgrade was successful. Proceed to the next step. Note: The query may produce several Sysdepends warnings, which are irrelevant in all cases. Warnings in general can be safely ignored. If you are not sure about a warning, contact TMW Systems Support. If the message reads, “Query batch completed with errors,” contact TMW Systems Support before proceeding. 9. Select Query > Execute. When the query completes, check the message at the bottom of the Messages tab. If the message reads, “Query batch completed,” proceed to the next step. Note: For additional information on this message, see the note for Step 8 in this section. 10. If TotalMail and TMWSuite are installed in the same database, the database upgrade or installation is complete. If TotalMail and TMWSuite are installed in separate databases, proceed to the next section to upgrade the TMWSuite database. Installing and upgrading TotalMail TotalMail 27 Revised: 11/2013 TotalMail Installation Running the SQL files for the TMWSuite database Follow these steps to install or upgrade the TMWSuite database manually using the SQL files. Note: The following procedures are only needed if TotalMail and TMWSuite are installed in separate databases. 1. In SQL Server Management Studio, connect to your TMWSuite database server, and select the database that hosts TMWSuite. 2. Select File > Open. 3. The SQL files required to the install or upgrade the TMWSuite database are located in the DATA sub folder of the TotalMail installation folder on the local computer. For most computers, the full folder path will be: C:\Program Files\TMW Systems, Inc\TotalMail\DATA. Locate the appropriate folder and select the SQL file that matches your database server version: Database version SQL Server 2008, 2008R, 2012 Configuration Separate databases Folder and SQL file TMWSystems, Inc.\TotalMail\Data\SplitSuite.sql 4. Select Query > Execute. 5. Close SQL Server Management Studio. Note: If you have set up a DTS package to transfer check calls, please contact TMW Systems Support for assistance. SQL file Quick Reference guide This section summarizes the SQL files needed for several different database versions and configurations. All folders will appear under the DATA sub folder of the TotalMail installation folder on the local computer. For most computers, the full path will be C:\Program Files\TMW Systems, Inc\TotalMail\DATA. The SQL files must be run in the exact order listed for each database version and configuration. TMWSuite Single Unified-Tml-Suite.sql Split Split-Tml.sql Split-Suite.sql Installing and upgrading TotalMail TotalMail 28 Revised: 11/2013 TotalMail Installation TL2000 Tml-4-TL2k.sql Performing database maintenance There may be times when you download a new version of TotalMail that you see a note like this on ClientCenter's Software Delivery Page IMPORTANT NOTE: TotalMail Release 14.10 includes a required database modification to the checkcall table. This DBMod is included in this release as a separate utility file, [checkcall_optimization.sql]. We recommend that this DBMod be executed during off hours or added as a task to the your next schedule maintenance period. Please note: Totalmail 14.10 will run successfully without the DBMods applied, but you will not be permitted to upgrade to TotalMail 14.20 or higher until after the DBMods are completed. Required Utility Description(s) · checkcall_optimization o Purpose: Reduces the overall size of the checkcall table through the conversion of fixed width char fields to variable width varchar fields. The note identifies a required change that is not handled by the installation program. In this example, it instructs you to apply a SQL file that contains a database modification that converts the fixed width of character fields to variable widths. This modification will reduce the overall size of the checkcall table. The note also instructs you to apply the DBMod during off hours or your next schedule maintenance. If you accepted the default location when installing/upgrading TotalMail, the SQL files for database modifications are found in C:\Program Files (x86)\TMW Systems, Inc\TotalMail\DATA\Utilities For assistance, contact your TMW Support representative. Installing and upgrading TotalMail TotalMail 29 Revised: 11/2013
