Maternity Cover (up to 9 months)
35 hours
NJC Point 18 £18,070 pro rata, Plus 4% pension
ASCERT has grown to become one of the leading providers of drug and alcohol services in
Northern Ireland. We have extensive experience in the development, planning and delivery of
drug and alcohol services.
ASCERT provide a wide range of services in areas including training, education, treatment, and
community services operating from bases in Lisburn (Head Office), Omagh, Magherafelt and
Belfast.
The job holder will provide effective and efficient administration support, developing and
maintaining appropriate administrative systems. The administrator will act as first point of
contact for a busy training team.
ASCERTs training services are striving towards a paperless administrative system with
promotion of services through ASCERT’s website and social media.
The management of the training content of ASCERTs website and information management
system are therefore an essential part of this role.
Development
Develop paperless administrative systems for the effective
management of information along with the training team.
Develop administration materials to support the administration of the
training services.
Develop content for the website and social media platforms.
Develop training service promotional materials.
Service
Administration
The day to day recording of administrative information.
The day to day financial recording of service information.
Provide written reports to management as required.
Organisation and booking of venues and hospitality provisions for
training events.
Collection and recording of data to support the monitoring and
evaluation of all elements of ASCERT training services.

Maintain records of ASCERT training services in ASCERTs
information management system.
Communication
To act as first point of contact for ASCERT training services
ensuring each customer receives a good level of customer service.
Liaising with the public and stakeholders, providing accurate
information in relation to ASCERT training services.
Management of a customer database for communications.
Updating and maintenance of training services content of ASCERTs
website and social media.
Liaising with ASCERT associate trainers.
Other Duties
To record minutes of meetings as required
To carryout ASCERT reception duties as and when required.
To carry out other responsibilities that may be required, as
commensurate with the post.

PERSON SPECIFICATION
The following ESSENTIAL criteria must be clearly evidenced in section (1) in the
application form. Failure to do so will result in a candidate not being selected for
interview.
All essential criterial will be assessed at shortlisting stage.
A. Three GCSE’s (or equivalent) at grade C or above, including Maths and English.
B. Experience: At least 2 years’ recent experience maintaining administrative systems in a
busy office environment.
C. Experience of Website Administration.
The following DESIRABLE criteria should be evidenced in section (2) in the application
form.
Some or all of the desirable criteria may be assessed at shortlisting stage.
E: Experience of working within a training department
D. Experience of developing and maintaining a training calendar
E. Experience of working in the voluntary or community sector
The following Criteria will be assessed at interview stage only
J. Excellent interpersonal skills and the ability to build and maintain effective internal and
external working relationships
K. Sound planning and organisational skills to work proactively with minimum supervision to
achieve deadlines and objectives
L. Strong IT skills across all Microsoft Packages
M. Effective team player both as a member of ASCERT’s Training team and more widely as a
team player within the organisation.
N. Strong verbal and written communication skills.
