Technical Communication-Targets a Specific Reader
You have to customize the information for a particular reader
Example: sometimes you will be aware of your potential reader, for ex,
writing a proposal to your manager. You think about the person’s
background, responsibilities, history with organization, attitude and alike
while preparing the proposal. (2 marks)
Technical Communication-Helps reader solve problems
The technicals writer must anticipate the questions a user would ask
about the software. “Sometimes your user and constituents won’t know
the correct question to ask. In those cases try to think out the questions
for them and answer them in advance. Provide them with the
conversation starter and they are more likely to be engaged (2 marks)
Technical Communication-Part of organizational context
Technical communication is created by people working within or for an
organization to further its goals. For ex, Education department oversees
the programs in vocational education. Every activity undertaken by the
department involves technical communication (2 marks)
Technical communication –Created collaboratively
Technical communicators work with other creative people like
production specialists, lawyers and technical professionals to create a
better document to convey the synergy and creativity of the
collaboration. Because of collaborative nature of technical
communication, inter-personal skills are very essential. (2 marks)
Technical communication-Synergy of words and graphics
Graphical images can clearly convey complex concepts which cannot be
easily conveyed through words. For narrative purpose a writer can
depend on words and for simplification of concepts, can depend on
graphics. In short, technical Communication is a synergy of both words

Technical Communication – Involves visualization
Design features make the technical document more effective and user
friendly to the reader. Technical communicators visualise documents for
the following purposes
1.To make the document attractive: Good design
2.To help the reader navigate the document: Design features help readers
to see where they are and what they want from the text
3.To help the reader understand the document: design features help a
reader to recognize the patterns, colors, size of the design elements, and
able to better understand the document (2 marks)

The personal computer along with the printer is used in every phase of
the document production. Technical writer uses word processing
software, graphics software and desktop publishing software for the

associated with classic formal writing. Focus directly on the matter to be
told. Express your ideas in straight forward, conversational style.

a.Word order: Usage of correct words at the right place. You place the
words in the right order. Rule you need to follow is to place the word or

b.Ambiguity: the word may be placed in such a position that it can give
meaning to a varying range of elements within the sentence (1 mark)
c.Brevity: the words may be omitted to make a sentence short (1 mark)
d.Use Lists: Lists are useful tools to shorten the length of your sentences
in technical writing. By converting sentences into lists, information can
be given in small chunks. They are easier to understand and remember
Lists can be made using bullets or numbers
i.Lists with bullets: The list can be bulleted when;
∙You don’t need to follow any specific order
∙You want to highlight special features
∙You want to list options
ii.List the numbers:-the lists can be numbered when;
∙You have to follow a strict order
∙You have to list alternatives
∙You have to make recommendations (2 marks)
e.Focus on action words
Focus on action words, don’t express it in other words (nouns) (1 mark)
f.Emphasis the most important: Placing the main information in the
sentence, in the right place will help you to control the length of the
sentence
g.Express parallel elements in parallel structure: the coordinating
elements in a sentence should be stated in the same grammatical form.
Crafting and sustaining a recognizable pattern makes the sentence easier
to understand (1 mark)
