Job Description Job Title Reports to Hours Based from Marketing & Events Assistant Head of Marketing & Communications Full time (37 hours) plus evening and weekend work as required Head Office Purpose of the Role The Marketing & Events Assistant will provide support to the Head of Marketing and Communications, and the Conferences and Events Producer. The post holder will work on marketing projects and campaigns, and attend events on behalf of the charity. They will provide administrative and project support for conferences and events, including external training administration and market research. They will manage the Autism West Midlands online shop. Additionally, under the supervision of the Head of Marketing and Communications, the post holder will be responsible for the maintenance of the Autism Alliance online web presence, including social media. Primary Responsibilities Work on marketing projects and campaigns including video diaries, blogs and awarenessraising events Attend information and marketing events, setting up and managing the organisation’s presence at such events. Manage the AWM Online Shop including the maintenance of stock, monitoring and dispatch of orders and communication with customers Maintain and update the Autism Alliance online presence, including the website, Facebook and Twitter, as directed by the Head of Marketing and Communications. This will include paid-for advertising using Google and Facebook ads. Marketing and Communications: Support with the maintenance and content generation for the Autism West Midlands online presence: the external website, staff website and social networks. Collate content for the staff newsletter on a monthly basis Draft press releases and copy for publicity material as required Manage the Autism West Midlands membership database, including setting up new membership, organising renewals and sending out membership packs in a timely manner. Support with the design and management of market research, including inputting surveys onto the electronic system Support community fundraisers and organisations with events and activities organised to raise funds for Autism West Midlands Maintain relationships with fundraisers and acknowledging fundraiser support through thank you cards, regular communication etc. Events and Conferences: Provide support for the preparation and delivery of conferences and other events Book training venues and catering and liaise with trainers/venues/caterers regarding the details of external courses Manage communications between training/conference team and external delegates by producing invitations, welcome letters, acknowledgement notes etc Respond to queries about external training and conferences via email and telephone Keep all external training and conference spreadsheets/documents/outlook calendars upto-date for the training team Provide administrative support for Autism West Midlands e-learning packages Conduct research on behalf of the Conferences and Events Producer Provide sales support for the training team including research, calling and emailing potential customers and attending events Other Administration of external training and conferences evaluation forms, and certificates To carry out any other duties commensurate with the role To work in accordance with AWM policies and procedures at all times. To attend team meetings and contribute to other team activities as reasonably requested Person Specification Essential: Knowledge& Understanding 2:1 degree or above Skills Excellent communication skills - written, verbal and interpersonal Creativity Flexibility to meet the changing demands of the job Ability to work on own initiative Ability to meet deadlines Ability to build positive relationships with colleagues and external contacts Proficiency in Microsoft Word, Outlook, Excel and PowerPoint Discretion in handling sensitive information Excellent attention to detail and accuracy Excellent team player Commitment to equal opportunities. Experience Experience of working in a fast-paced marketing and/or events management environment Experience of organising successful events Experience of updating web content management systems Experience of using social media for marketing Desirable: Knowledge & Understanding A marketing or events qualification (e.g. CIM, CIPR) Knowledge of Autism and/or autism services Knowledge of the Charity sector Knowledge of the Adult Social Care sector Understanding of online marketing including Google Ads and Facebook advertising Skills Proficient with Adobe Creative Suite (InDesign, Photoshop and Illustrator) Ability to write HTML and CSS Experience Liaising with sponsors and selling space at events to exhibitors
