Polin Waterparks ERP Project has provided significant benefits for
customers in transforming the Business Transformation Project.

Polin, founded in 1976 in Istanbul, is a world leader in the manufacture and assembly of water
slides and water park design. Today, Polin has the signature on the largest and even winning
water parks of many countries, and continents. Headquarters is relocated in Kocaeli. All
production is in Turkey. The factory has a full team of 450 people dedicated to the water park
industry in a total closed area of 35.000m2. It has offices in Russia, Morocco, Macedonia,
Montenegro and China.
Polin which performs more than 2.500 water park projects in 100 countries, introduced
many firsts in the industry with a vision "Always Innovative", "Worldwide High Quality"
and "Technology Leadership". King Cobra slide launched in 2010, was selected as the
best water slide in Europe in 2012, 2013, 2014, and 2015.

Selection Process
Polin's current ERP software did not respond effectively to the growth and customers'
changing needs. Polin according to its globalized commercial structure, began a
global ERP software selection process in July 2014. Demo work was carried out with 3
known large software firms for key users composed of parts.
Despite in the light of assessments, all the software could meet the needs of Polin, it was seen that regarding, it was seen that
there was no objective criteria for selection whether which application is more appropriate. Hence and of ERP Committee
support studies were conducted on the evaluation with the aim of informing executed. Studies were started with KATİPOĞLU
CONSULTING for both the selection process in the transition to live, guide the focus on the analysis of expectations in
providing the right spot.
KATİPOĞLU CONSULTING, with key users, started Current Situational Analysis (MDA) work and analyzed processes and
organization. With one to one interviews with key users "Expectation Survey" was conducted. POLİN MDA document of
249 pages was completed in February, 2015 consisting of the current situation and the expectations. According to the
project results to be obtained project was divided into 3 phases. 1st phase will walk on the main ERP processes, all part
of a structure aimed to touch the system. In phase 2 and phase 3 the scope of work assignments are included, Activity
Based Cost Accounting can be made and structure of consolidated companies can be managed.
TID (Request for Proposals) with 122 pages was created in March 2015 based on MDA studies. Data transmission was
made to 30 partner firms (8 ERP Software). Confidentiality Agreement has been signed with 22 of these firms and TID
was sent to these companies. 15 companies (6 ERP Software) gave feedback. After face to face interviews made,
detailed DEMO set was shared with 1st Short List companies composed of 5 companies (3 ERP software) and DEMO
presentations were taken from all companies during the whole day. As a result of the technical analysis scoring
between the companies, it was decided to launch the remaining open issues and contract negotiations with 3
companies in 2nd Short List. ERP software and Business Partner selection were scored by Polin key users and identified.
With reference to those companies, face to face meetings were organized. Finally, CVs of consultants to work on the
project were compared. On June 22, 2015 Microsoft Dynamics AX was selected as ERP and ETG CONSULTING as
Partner.
Project and Live Transformation
Project started in July 2015 quickly and in a structured way, passing through Analysis, Training, Design,
Documentation, Development / Customization, Testing, Live preparation, Setup, Data processes taken for Live use
for 3 companies in January 2016, in a short period of 6 months.
In the project that all stages of the Microsoft Dynamics Sure Step project management methodology was used, detailed
plan for Live Migration was made. According to this plan Dataset was ready in the last week of December, counting that
was started on January 1, was completed on January 4. The first week of January was completely dedicated to data entry
to the system. Customer and purchase orders, the system of identification of existing projects and WBS was held to be
brought to current activities. Also the production and WBS connection was installed and automatic transfer of
production to WBS was provided. As of January 15, the system started to work. In particular, Polin leaving the former
ERP system in December 31, 2015 and continuing only with AX system was the driving force in terms of the functioning
of the system.
During the project, some applications were implemented to get more ownership of the project within the company and achieve
success. Some of these applications are:





Project Monitoring Panel (project plan, the current status of the project master data (MDM) update schedule,
announcements, etc.).
Information brochures and e-mails (Users are reminded of their key user of AX interface training to their computers
AX client (client) installation knowledge, AX user accounts (account) to be opened of the system, to test the system
in their process of testing and notifying the key users about their identification, whether master data (MDM) is in
the system and check whether that it is correct.)
AX User Support Service (With the realization of two Polin projects all steps with ERP to ensure the accurate flow of
the system)
AXA Time Application (an environment where project key users and project managers come together in days and
hours specified, and where they can view detailed issues related to the coming AX)
AXA Reinforcement Training (repeated training aimed to adapt all users of the system more easily)
Scope

For processing Polin transactions between the companies in a practical way, Microsoft Dynamics AX multiple
companies Intercompany function has utilized.

Polin is attending many fairs with its excessively active marketing unit. Polin by transfering customer candidates to an an
opportunity and quotation process to ERP systems, Polin has taken the first step of CRM activities.

After customer approval, sales orders converted to proposals are transferred automatically to the WBS Project Planning
module and a continuous process flow. was provided. In this module, the entire project is planned in detail and
systematic steps are followed. Sub-components of the average order consists of a number of approximately 3,000 4,000 lines.
AutoCAD prepared prescriptions (BOM) with the explosion of the system, BOMs can be created. Under the Production
Management module all production orders can be seen as the centrally and can be planned. With applications such as
mold occupancy report, more efficient use of plant resources is provided.
With planning and contract management carried on through Microsoft ERP (Dynamics AX) , potential communication
breakdowns between departments were blocked.
Mistakes were avoided with work orders and product barcode application and production details have been recorded.
Also thanks to barcode and shipping collection handheld terminals infrastructure which have been established to
prevent the erroneous shipment.
Thanks to the prepared reporting infrastructure that many reports have been taken over Microsoft ERP (Dynamics AX)
such as the payment schedule of the projects, delayed activities, project based profit / loss or category-based profit /
loss or employees / material based profit / loss reports, project costs, consolidated accounts.





With the Fictionalized Cash Flow, cash management has become possible in project, or category, or employees / agents
detail.
