Open Tender Procedure
Attachment 1 – Requirement Specification
Attachment 1 – Requirement Specification – Automated Sample
Preparation System for High-Throughput Analysis of Fatty Acids with
GC-FID
NIFES will invest in new sample preparation equipment for fatty acid analysis. We are looking for a
new and fully automated sample preparation system that will give us a high throughput method for
fatty acids. Our main goals with this investment is to get:
1. A fully automated sample preparation
2. A system that is highly efficient and can handle a large number of samples
3. A system that is precise, accurate and robust
We want a system that can automate the sample preparation process starting from the original
sample matrix and ending with fatty acid methyl ester (FAME) extracts ready for injection into a gas
chromatograph (GC). The sample number is approximately 1000 samples per week, and the sample
matrix will be tissue fluids and red blood cells. Our current method is presented in attachment 1a Procedure.
The table of requirements given below states the Buyer’s requirements with regard to function,
performance and dimensions of the system. The Supplier must describe how these requirements will
be fulfilled. If the requirements cannot be fulfilled by the Supplier, this must be stated in the tender.
The Supplier must give an extensive description of all the requirements so that the Parties will have a
common understanding of what is to be delivered. The cells of the table may be expanded to give all
the information necessary. Enclosures may also be used if necessary as long as it is referred to in the
table. A yes or no answer will not be sufficient.

Please use Attachment 4 – Price, for prices in the tender.
Give the price of the instrument, delivered at NIFES
complete with all parts and up-and-running and
functioning, include software and necessary training for
the users. The tender price should include all costs to be
incurred by the contractor.
The instrument should be set up with an application for
sample preparation on a red blood cell sample provided
by NIFES.
Operations to be performed by the system:
(see attachment 1a – procedure, for required operation
details)
Transferring of sample between sample vials/plates
Transferring of solvents from solvent reservoir to samples
-Hexane

-Water
-BF3
-Internal standard (methyl nonadecanoate in
chloroform/methanol (2:1))
Pipetting of small volumes with high accuracy
Heating. Samples must be heated to 100 °C for 1 hour. It
is important that the samples are completely sealed to
avoid evaporation and cross contamination under the
heating process.
Evaporating
Weighting
Agitating and centrifuging
Liquid liquid extraction. The two liquid phases must be
mixed, and the system must be able to transfer only the
upper liquid layer (hexane)
State which sample containers the system uses (vials,
deep well plates, test tubes etc.). The containers must be
resistant to the solvents and temperatures in use.
State the instrument samples capacity.
Give suggestions to how the system may be altered, for
us to be able to automate other methods in the future.
The system must be robust and give reproducible results
Give the possibility of adding a barcode reader to the
system. State how the barcode reader would work and
the increase in price by adding this module. Give the
possibility of transferring the information from the
barcodes to Labware LIMS or Chromeleon.
Give the dimensions of the system, also the weight in kg.
State if special considerations must be made for
implementation/installing of the system. The system
must be compatible with the Norwegian electrical
plugs/sockets.
The supplier must give the requirements for the
installation site, e.g. ventilation, furniture, amount of
space, etc.
Propose measures to avoid exposure to solvents and
hazardous chemicals (i.e. fume cupboards, ventilation,
waste handling) while using the instrument.
Specify included accessories, spare parts and service
tools.
Specify required consumables and spare parts. Give price
and delivery time in Attachment 4 - Price.
Specify consumables that can be purchased from other
suppliers than the vendor in Attachment 4 - Price.

Training
Specify the extent and the duration of the training.
Training for the users in running of the instrument.
Training for the users in maintenance.
Training for the users in using the software.
The supplier should attach a maintenance manual and
maintenance should be easy for the users to perform.
State which maintenance operations the users are able to
perform and which maintenance operation that must be
performed by a trained service engineer.
Necessary training in using the software. Specify the
extent and duration of the training.
