Orthodontic Outpatient Services
12th February 2007
BACKGROUND INFORMATION
North Glamorgan NHS Trust is undertaking this tendering exercise for a contract to
provide Orthodontic Outpatient Services MRI services within the region of North
Glamorgan NHS Trust.
The basic purpose is to screen each patient to help the Trust meet the target of
no-one waiting longer than 8 months for a new outpatient appointment. It will be
necessary to assess whether the patients need to be treated in a hospital setting
and to record the reasons why.
This will involve:1)
North Glamorgan NHS Trust will contact patients to see if they are prepared
to travel to Cardiff.
2)
The Trust will send a standard letter to inform referred patients that they will
be assessed in Cardiff, copied to GDP.
3)
A list of patients, with contact details, plus a copy of the referral from the
GDP will be sent to the practice.
4)
The practice to contact each patient and agree an appointment date – every
appointment MUST be before 31st March (ideally by 24th March).
5)
The practice to see and assess the patient.
6)
A report/letter on each patient should go to Dr Pamela Stephenson,
Consultant Orthodontist, with a copy to the referring GDP for information.
Where there is a need for multi-disciplinary treatment this should be
identified in the report/letter.

A list of appointments should be provided to Mr Phillips as soon as it is
practicable for planning purposes. Retrospectively, an outcome for each
patient, whether they have attended the appointment or not must be
recorded, and a list of the activity of the preceding week should be sent to
Mr Phillips by the end of the following Tuesday.
8)
The practice should invoice the Trust once the agreed number of patients
have been assessed, sending the invoice to Mr Phillips below.
9)
Patient confidentiality should be respected at all times.
Further information required will be:1) Names, qualifications and contact details of treating Orthodontist(s);
2) Whether there is the possibility of Orthodontists carrying out treatment at
Prince Charles Hospital weekdays, evenings or even Saturdays, to minimise
travelling for patients;
3) A fully inclusive cost from the practice covering assessment, X-rays, all
staffing, correspondence etc.
4) Confirmation of potential capacity within the timescale.
