Villa Maria College of Buffalo Building and Grounds Committee of the Board of Trustees Minutes December 4, 2014 PRESENT: Erik DeGlopper Michael Eadie Brian Emerson Sister Marcella Marie Garus Thomas Honan EXCUSED: None. Sandra Reicis Timothy Rider Mary Robinson David Wisner The Building and Grounds Committee meeting convened at 3:00 PM in the M&T Conference Room. MINUTES: The minutes of the September 25, 2014 meeting were approved as distributed. MASTER PLAN: Tim Rider reviewed the status of the plan leading up to his presentation to the Board of Trustees on December 17th. The last master plan was done in 2003. Tim has received input from all areas of the college and will incorporate those thoughts into the plan. It will have 3 parts: a current accounting of the physical space and use, areas of immediate concern that should be addressed in the budget process and future changes that will be needed to accommodate more than 800 students. Sister Marcella Marie Garus commended Tim for his dedication and hard work on the plan and looks forward to the final product. FRONT STAIRS: Tim Rider reviewed the project with the committee. Several of the new stairs are turning shades of brown. There is no explanation for this and therefore the contractor is working with the supplier and experts in the field to determine why. RE Kelley has given the college a verbal commitment that they will replace the steps at no cost in the spring but first want to do some chemical analysis to try and determine a cause for the color change. The College has agreed to this and will make no additional payments to the contractor until the issue is resolved. There still remains a short punch list that must be completed. A change order for the additional costs of the project has not been received. LIGHTING: The committee discussed the interior and exterior lighting of the College. Michael Eadie and Mary Robinson met with representatives of National Grid and Ferguson Electric. They are currently working on a full review of all college lighting and will prepare a bid for the project in five parts: exterior, Main Building, Felician Hall, Athletic Center and Art Shop. The committee also inquired about additional bids from Frey Electric or other contractors to ensure that the project will be done at reasonable cost. It is anticipated that NYSERDA may also have continued interest in the project since they were also involved from the beginning. Building and Grounds Committee of the Board of Trustees MINUTES, December 4, 2014--2 OTHER PROJECTS: The boiler in Felician Hall is currently operating at 50% capacity. The building is warm but any additional loss of boiler capacity could cause issues in the building. The current status of the boiler could continue for a month or a year or longer but at some point it must be addressed. The College is in the process of securing bids for the project, five companies have been contacted, and one bid has been received for $53,000 - $70,000 depending on efficiency. The College is planning on discussing the project with FSI regarding possible cost sharing since they are the owners of the building. The College will be experimenting with painting the wall tiles in the 1st floor hallway of the Music Building during the semester break. Choops Painting will do the work. If the project is met with positive response and holds up well with normal traffic and use of the hallway the College may consider future painting. Michael Eadie sought the expertise of the committee concerning the repair of three hallways in the main building. There are several large cracks in the hallways which make for a poor appearance to students and visitors. The College has received a bid of $23,000 to repair the hallways and replace the cracked tiles. The Committee felt that this was not the correct way to go and suggested dry walling the halls which may be more cost efficient and give a better appearance than mismatched tiles. The College will investigate this option. Sister Marcella inquired about the backflow concerns raised in a recent letter to the College by the Erie County Water Authority. Erik DeGlopper has spoken with the Authority and told them that plans have been drawn by Trautman Associates to fix the problem and the College will plan to complete the project in the future. Sister Marcella would like to be proactive on this issue before something serious happens, the project will be discussed as part of the 2015-2016 budget.
