Process Flow:
The vertical contains the following modules:
Agency Quotation
Agency Exports
Agency Imports
Principal
Under each activity there are various services involved such as Local Transport, Freight
Forwarding, Custom Clearance, etc. Under each such service, there are charges involved such
as Airway Bill/Bill of Lading generation, Fuel Charges, Detention Charges, etc. All charges are
linked with the service and in turn also to the G/L account for financial effects.

Booking generation is handled by sales order creation. While creating a booking
when the user selects the service, the system can auto populate the charges linked
to the service.
Pricing is maintained in the system. Sales price varies with Port of Loading, Port of
Discharge, Currency, Unit of Measure (type of container involved e.g. 20’, 40’,
hazardous, etc.). Pricing is also differentiated on the basis of a particular branch
handling the consignment.
When a branch takes the order from customer, the system works out the
consignment with different carriers (Shipper/Airlines) that is defined in the vendor
master. Hence, in any consignment, the Carrier cost is automatically deducted from
customer quotation and is shown as the actual income (margin) of the company.
Here, the charges payable to the vendor(s) also becomes part of the booking
creation.

At the booking stage (sales order) the vendor and cost involved is mentioned so that
the approver can get a clear picture about the particular booking’s profit / loss.
In an ocean activity service for consolidation, where multiple customers consignment
are sent to the parent company, the charges involved in consolidation also marked to
consignee (parent company) and other normal consignment charges are marked to
the customer’s sending the consignment. This activity is named as Ocean
Consolidation Business (OCB).
In case of air import or air export, there are two types of Airway Bills viz.
Master Airway Bill (MAWB) - these airway bills are assigned to company from the
respective airlines. These needs to be procured from the airlines.
House Airway Bill (HAWB) - these are generated in-house by the issuing company and
the HAWB number is captured against the booking for tracking purpose.
Similarly, for ocean activity there are two types of “Bill of Lading”, viz.
Master Bill of Lading (MBL) – these are issued by shipping lines
House Bill of Lading (HBL) – these are generated in-house by the issuing company.
For tracking purpose, Container No(s), Vessel / Voyage No. or Flight No., Expected Time of
Departure (ETD), Expected Time of Arrival (ETA), etc. can be entered in the system.
In case of air activity, there is a concept of “Chargeable Weight”. This chargeable weight is
derived by entering the Dimensions (l*b*h) of the shipment(s). As per the rules of the airline
industry, the amount charged as air freight is based on either the chargeable weight or actual
weight, whichever is higher, except in case of ODC (Odd Dimensional Cargo), where the air
freight will be as per the weight determined by the airline.
As bookings also involve vendor payments, a purchase order (PO) is generated from the
booking, as per the cost involved in that particular consignment. If a user has wrongly created
any PO, or if for some reason a PO needs to be cancelled, then there exists a facility to “Block
PO” and thereafter a fresh PO can be generated against the said cost(s).
Apart from the standard Navision features available for Data Security, there also exists a
facility for “Lock Booking” wherein the user can lock a booking, once the booking is complete
in all respects. Bookings which are locked, can be un-locked only by a “super user”.
