We strive to find balance of products and work hard to create the best selling environment for our vendors. To our regulars, thank you for making this the best market for our shoppers! To new vendors, we look forward to having you join our market family. 1) Vendor Luncheon & Workshop: Sunday, April 14, from 10 am to 1:30 pm. Astoria Event Center We encourage all vendors to attend as this is our annual touchstone before the start of the season. If you have a specific topic you want us to address at the meeting or tips for making the workshop more productive or fun please don’t hesitate to contact me. This is your workshop so your input is always welcome. The luncheon and workshop takes place at the Astoria Event Center – located adjacent to the Shipyard Bar & Grill at 894 Commercial Street (Event Center entrance is on 9th Street between Commercial and Marine Drive). 2) New! Vendors are now asked to list on the application if they are full-time, part-time or a floater. Full-time vendors receive priority booth assignment; free listing in the ASM Market Guide and in the online vendor directory; TWO free lunches at Annual Vendor Luncheon; and a substantial discount on the vendor only ad size (1/16 page) -- $35. Must vend 19 or more dates (excluding cruise ships). Full-time Vendors can use an agent for up to three vending dates. Special buttons will be given to fulltime vendors. We value our full-time vendors and will work hard to maintain your location barring significant weather or other issues that affect the Market size and configuration. Part—time vendor: This is an option available to those who cannot commit full-time. You receive one free lunch at the Annual Vendor Meeting. Ad fee is $55 for the 1/16 page ad. Vendor listing in the Market Guide and in the online directory is available for $25. Must vend eleven or more dates (excluding cruise ships). Part-time vendors cannot use agents to cover missed dates and are assigned space as available. Floaters: We do welcome occasional vendors. Floaters are assigned space date of vending. Special vendor ad is not available. Floaters are not included in the Market Guide or online directory. All vendors: Regular rules per the contract apply to ALL vendors, including late cancellation fees. 3) Cruise Ships: This year we are only offering the larger ships to vendors on the application. However, the full schedule of ships is included with the packet for your convenience. Cruise ship vendors will be given an opportunity to attend the smaller ships. For those who want more visibility we offer a 1/16 page size for VENDORS ONLY – the cost is $35 for full-time vendors and $55 for part-time vendors and floaters. The 1/16 page ad size is not offered to non-vendors. All vendors receive a 10% discount on other ad sizes. (1/8 page, ¼ page, ½ page and full page ads are available). 5) Glass Coin Promo: We will be making glass coins again this year. Remember: All vendors must offer some type of discount or other special offer/item in exchange for the coin. Vendors receive $1-off their booth fee for each coin returned with payment envelope. The discount/offer is entirely up to you. 6) Non-Profits: If you are a non-profit please contact me. We have a separate form and new guidelines for non-profits this year. Market Operations: Dates: Sundays, May 12 – October 13, 2013 Sunday Operating Hours: 10:00 AM - 3:00 PM Deadline: Applications are taken all season but for priority placement and for inclusion in The Market Guide return by March 8. The Guide listing is available FREE to full season vendors and for a $25 fee to parttime vendors. This is not available to floaters (occasional vendors) or those vending only at Cruise Ships or other Market programs.. Market Fees: Annual application fee: $35 Returning vendors; $45 New Vendors. Non-refundable. Vendor Fees: Sunday Markets are10% of gross sales each Market Sunday with a $25 minimum per each 10’ x 10’ space; Cruise ship Markets are $35 flat rate for each 10’ x 10’ space; Astoria Winter Market rates are TBD dependent on location. Vendor is required to provide financial statements substantiating gross sales upon request . Vendor Definitions: Full-time vendor: Must vend 19 or more dates (excluding cruise ships). Full-time vendors can use an agent for up to three vending dates as part of their full-time obligation. Part-time vendor: Must vend eleven or more dates (excluding cruise ships). Part-time vendors cannot use agents to cover missed dates. Floaters: Vendors who only plan to vend occasionally. Applications: to be assigned a space, all new and returning vendors must complete and return an application, with a non-refundable fee. This application and fee is good for the Astoria Sunday Market, Cruise Ship Markets, Winter Market, and any other ASM produced event for the 2013 season. Space Assignments: The Market Director assigns all vendor spaces. The vendor map is posted by 7:00 AM each Market Sunday on the mobile office parked at the corner of 12th and Duane. You may miss any Sunday with 48-hr. advance notice without paying the $25 penalty. Priority assignments will be given to those who commit to all 23 Sunday Market dates. Vendors may use a sales agent for up to four Market days during the season as a substitute for their participation. Booth space may not be sublet to another vendor without prior consent and approval of the Market Director. Cancellations/ Terminations: All cancellations for a specific market require a 48-hour notice to avoid $25 penalty. Cancellations made day-of Market can accrue up to a $50 penalty if occurring more than once during the Market season. Either Vendor or the Astoria Sunday Market may terminate vendor’s participation in all markets, on 48 hours written notice, at any time, without cause. NO EARLY TEAR-DOWN: Vendors must remain in place from 10 am until 3 pm. Vendors who begin packing product or removing their site prior to 3 pm may be suspended from vending at the Market for the remainder of the season. Canopy Weights: Weights are required on all canopies. Market Setup/Takedown: Set-up may begin by 7 AM and must be finished by 9:30 AM. No vehicles allowed on street or in vending area after 9:30 am. Your space will be held until 9:00 AM. After 9:00 AM the Market Director may assign the space to another vendor. You may park in front of your space to load and unload only. Please move your vehicle before beginning setup. Take-down begins at 3:00 PM. No vendor vehicles are allowed on the Market Street until 3:20 PM. Vendor Parking: These lots are the only parking available for vendor use: 1. The City lot between 9th and 10th on Exchange 2. Library lot – 10th and Exchange 3. US Bank lot – 9th and Duane 4. Health Department – 800 Exchange 5. Bank of Astoria lot – 11th and Exchange 6. Sterling Savings lot – 11th and Commercial 7. Bus Station lot – 9th and Marine 8. Exchange and 13th (down ramp to lower level) 9. County lot – 8th and Duane 10. Duane and 10th (down ramp to lower lever) NO ON-STREET VENDOR PARKING ALLOWED BY CITY-- $50 FINE – this includes Street Parking on 10th and any street parking in front of an existing business. Cleanup: You are responsible for keeping your space clean & the removal of all trash at the end of the day. Products to be sold: You must grow, gather or create finished products. You cannot add new products for sale without prior consent from the Market Manager. Sell only products listed on your contract. No Smoking at Astoria Sunday Market Food Vendors & Growers: You are responsible for meeting applicable health department codes. You must take all of your trash with you at the end of the day.
