To begin with….
Let’s start with the breakdown of formal communication. “Formal communication
involves utilizing the formal communication channels of an organization. Formal communication
can move vertically in an organization. Information is collected and flows up to the top levels of
management for review and decision making, while orders flow down from the top to the place
where it will be implemented. For example, employees may be given a presentation from the
human resources department on new policies and procedures.”
In high school, I learned how to formally communicate with my peers and teachers by
simply observing, memorizing, and practicing how they communicate professionally with each
other. I also participated in the high school’s marching band where I also achieved the title
‘Section Leader’ of the tuba section. I kept my section together by communicating with them by
writing up objectives and then orally discussing how we will achieve those objectives for each
week. After we would achieve our goals, we then verbally communicate about our pros and cons
and what we can do to fix the problems that have come about.
I used to be nervous when I first started to play my role as a leader. I was kind of
uncomfortable with having to direct a group of people in a certain direction. But I tested the
hands of time by sticking to it and being comfortable. My comfort with formally communicating
has improved majorly. With the help of my current class, which is, Business communication, I
know that I can’t go wrong when it comes to formal communication.

What I Learned
I learned that information is sent and received throughout an organization by formally
communicating amongst staff and employees. Organizations and other businesses formally
communicate with the outside world by externally communicating with newsletters, business
cards, and formal written letters. They do these things to gain and keep clients, vendors,
customers, and investors. When an organization communicates internally, they are
corresponding to the organization within itself, meaning that they communicate with its own staff
and employees.
“In business writing, the appropriate style will have a degree of formality. Formal
language is communication that focuses on professional expression with attention to roles,
protocol, and appearance. It is characterized by its vocabulary and syntax, or the grammatical
arrangement of words in a sentence.”
The other form of communication that is used commonly by most organizations is written
communication. When this tool is used by the writer, they would have to ensure that the words
that are written are concise, readable and understandable.
` “To meet the reader’s expectations, the writer needs to understand who the intended
reader is. In some business situations, you are writing just to one person: your boss, a coworker
in another department, or an individual customer or vendor. If you know the person well, it may

be as easy for you to write to him or her as it is to write a note to your parent or roommate.
